About The Role:

Provides administrative support with some limited support for their team leaders or direct reports. Core responsibilities include travel (domestic and international), expenses, calendaring, phone and meeting support. Other activities include setting up and coordinating events, projects and special assignments relating to client and employee activities. The position requires strong verbal and written communication skills. The candidates must have experience in determining priorities and re-prioritizing as appropriate. They should be comfortable and experienced with driving time management, monitoring progress and gaining cooperation of others. The ability to anticipate issues, problem-solve and adjust plans independently as needed cannot be over emphasized.


Work tends to be performed independently. This position receives only intermittent supervision on special assignments and is expected to carry out daily work without instructions and/or guidance.


Key responsibilities:

  • Provides detailed information and answers questions to the extent information is known; directs questions to other appropriate staff when necessary.
  • Handles confidential information appropriately.
  • Must be skilled at anticipating issues with day-to-day activities for the people being supported. Seeing problems and resolving them independently in advance is critical to the job.
  • Requires high degree of comfort with modern meeting technology including video conference, conference calling, and Microsoft outlook.
  • Composes correspondence from brief instructions or notes. Verifies, edits, and formats documents and correspondence which may include confidential information.
  • Maintains calendars; arranges all travel, meetings and conference calls, sends meeting invitations, registers visitors, reserves conference rooms and coordinates catering.
  • Prepares required requisitions for T&E expense reimbursements and any required Purchase Order requests.
  • Prepares reports and presentations using Word, PowerPoint and/or Excel as needed.
  • Organizes programs, events, meetings, or conferences, both internal and external to the company, by arranging facilities, issuing information or invitations.
  • Assists with office procedures, routines and filing systems as necessary. Maintains archived files from off-site storage facility; copying and scanning documents.

Additional responsibilities involve providing back up support to other Assistants during their absence on an as needed basis. Additionally, completing various other duties of comparable scope and responsibility as delegated or assigned.


About You:

  • This candidate must be proactive, forward thinking, and high energy with excellent organization and analytic skills.
  • Qualified candidates must have excellent verbal and written communication skills, be detail orientated with the ability to prioritize multiple requests and deadlines.
  • Successful candidates will be comfortable working in a fast-paced environment, have the ability to interact with staff at all levels and work effectively in a team environment.
  • The position demands excellent follow-up skills; must be a flexible, detail oriented, thorough, self-starter with the ability to multi-task, anticipate, prioritize, and function well under tight deadlines, heavy workload and pressure.
  • Exceptional technical skills, fast notes and typing required. Strong working knowledge of Microsoft Windows, Excel, Word & PowerPoint.
  • Project or event management experience is expected.
  • Bachelor’s degree or equivalent, preferred.

For New York City the estimated base salary range for this position is $64,000 to $96,000 (Pay will be pro rated to reflect part time hours). The specific salary offered for this or any given role will take into account a number of factors including but not limited to job location, scope of role, qualifications, complexity/specialization/scarcity of talent, experience, education, and employer budget. At Swiss Re, we take a "total compensation approach" when making compensation decisions. This means that we consider all components of compensation in their totality (such as base pay, short-and long-term incentives, and benefits offered), in setting individual compensation.
