Position Overview:


The Executive Assistant supports the Montrose Regional Health Board of Directors (BOD) and the Chief Medical Officer (CMO) with complex administrative functions. This position is responsible for handling a wide variety of complex and confidential administrative functions. The Executive Assistant works closely with the BOD and CMO to coordinate special projects and meetings. The Executive Assistant provides administrative support for routine matters and preserves the confidential nature of matters of which he/she has knowledge, coordinates activities to assure that deadlines are met and follow up on matters that have not been completed, organizes daily schedules, handles routine calls, assembles materials for reports, maintains incident reports, patient satisfaction surveys, and other data, schedules meetings, keeps minutes and other important records and other activities as necessary.


Essential Functions
:


1. Develops a good working relationship and maintains a positive rapport with physicians, Senior Leadership, Board members, Department Directors and others.


2. Displays a professional image and works well with others.


3. Maintains a positive attitude.


4. Demonstrates flexibility to adjust schedule to meet the needs of the hospital.


5. Exercises extreme discretion in dealing with very confidential subjects.

6. Maintains a comprehensive awareness of the overall BOD and CMO schedules/calendars, daily, weekly, monthly and annually, while focusing on the various daily activities. Proactively manages assigned schedules.


7. Facilitates the scheduling and coordination of BOD meetings and other meetings as assigned by the CMO including but not limited to taking accurate minutes for meetings, room arrangement, arranging for catering when needed, ensuring necessary audio-visual equipment (i.e. conference phone, projector, computer, etc.). Distributes minutes in a timely manner to meeting participants.


8. Processes invoices and keeps accurate records of expenses.


9. Other administrative duties as assigned.



Physical Demands and Working Conditions:


While performing the duties of this job, the employee is regularly required to see, talk and hear. The employee frequently is required to sit and use hands along with fingers, to handle or feel. The employee is occasionally required to stand, walk, reach with hands and arms, climb or balance, and stoop, kneel, crouch or crawl.


Qualifications & Skills:


a) Education: High school completion or equivalent.


b) Training & Experience: Five years clerical experience in the field of healthcare services; excellent typing, communication, and computer skills.


c) Job Knowledge: Computer knowledge relating to word processing. Ability to adapt to a widely diversified group of responsibilities, ability to prioritize and manage several projects and deadlines at the same time. Excellent interpersonal and communication skills. Must have outstanding interpersonal skills and the ability to work with demanding personalities often under stressful circumstances.
