Creative and dynamic Executive Assistant needed for a top-ranking Real Estate Team at COMPASS RE in Chestnut Hill, Philadelphia. With the help of this individual and full-time Virtual Assistant, the agents are hoping to focus more on selling Real Estate and much less on operational and administrative tasks. We are looking for an exceptional candidate who is willing to go above and beyond to help bring the team to the next level.

The ideal candidate will possess a background in Real Estate. The candidate should be flexible and have a proven track record of creating and implementing systems and procedures in a hybrid and active office atmosphere. This person will have a strong sense of urgency and must enjoy "to-do lists". The ideal candidate will work well with minimal supervision, gradually taking on more responsibility and leadership within the team.

Compensation:

Salary Range: $45,000 - $55,000 depending on experience

Paid Time Off (PTO)

Responsibilities:

Job Responsibilities include the following but are not limited to:

  • Organizing/Managing day-to-day office operations including ongoing real estate transactions
  • Writing up offers and addendums
  • Overseeing the team's Virtual Assistant
  • Monitor daily emails and manage day-to-day office operations
  • Assist & support all full-time team realtors
  • Help agents, customers, and other parties with all escrow paperwork, including appraisals, titles, and mortgage loans
  • Screening and directing phone calls; distributing correspondence
  • Producing reports, presentations, briefs
  • Input client information into the client database system, track transaction activities, and submit each necessary document to the office broker for file compliance
  • Tracking financial income, and expenses, managing P&L spreadsheets, creating effective budgets
  • Marketing of Listings, Business, and Team through digital/social media (strategy)
  • Light bookkeeping with QuickBooks
  • Working with professional vendors
  • Facilitate all event planning logistics, including invitations, cleanup, etc.
  • Maintaining database management system(s)
  • Coordinate and schedule team events, activities, & timelines
  • Must be comfortable with calling clients and providing excellent customer service


Assisting and supporting the owner in all business and personal areas needing assistance

  • Calendar management & scheduling appointments
  • Travel coordination, planning trips, researching destinations
  • Opening business mail, organizing/filing papers, and paying bills
  • Shopping, errands, gift wrapping
  • Scheduling meetings and appointments
  • Tracking expenses accurately and creating effective budgets
