EXECUTIVE ASSISTANT FOR REAL ESTATE DEVELOPMENT COMPANY

Our client is a growing company in Concord, CA with a concentration in construction and development that also holds a portfolio of rental properties. They are looking for an outgoing, hardworking self-starter to join the team.

  • The qualified candidate will be detail oriented, able to handle multiple projects simultaneously, extremely professional, and customer service oriented.
  • We are Team Players! Being a smaller company, all levels of staff assist in all aspects of our business.
  • This position requires an extremely computer savvy individual (word, excel, etc).
  • 40 hours per week, Monday through Friday 8AM-5PM, with some overtime
  • This is a FULLY ONSITE position. NO remote work.

Responsibilities

  • Daily communication and organization on behalf of Executive
  • Daily document preparation for Executive, including complete Word and Excel file creation and maintenance
  • Maintain calendars for Executive as well as ongoing real estate projects with multiple deadlines
  • Organize and file contracts and paperwork for real estate projects
  • Contact with escrow companies on property closings, paperwork required, payments required, etc.
  • Track various project items: investors, property owned, insurance coverage
  • Prepare weekly and monthly activity reports
  • Ensure that all project files are prepared and maintained both electronically and physically
  • Handle filing and office duties for multiple related Companies
  • Assist with other administrative duties as needed

Requirements

  • Experience as an Executive Assistant
  • Experience in the real estate or construction industry a plus
  • Confident in computer fundamentals and use of technology
  • ADVANCED proficiency in Microsoft Office (Word and Outlook especially, Excel comfort required)
  • ADVANCED typing and transcription skills.
  • Ability to scan and file documents electronically
  • Proven record of providing excellent internal and external customer service
  • Excellent oral and written communications skills
  • Highly organized
  • Highly motivated with high attentional to detail
  • Ability to multi-task at an extreme level
  • Ability to work with demanding individuals
