We are currently looking for an Executive Assistant that will be responsible for delivering administration and secretarial support to the CEO, President of ACRE North America and Senior management team in our Plano, Texas office and international offices. You will provide general administrative support, coordinate, and attend meetings as required, and lead the general management of the office. You will be a gatekeeper to the CEO and manage incoming and outgoing phone and electronic communications from internal and external customers.

Your responsibilities will also include:

  • Act a liaison both internally and externally, greeting guests and always maintaining a sense of professionalism.
  • Have full responsibility for the reception area including deliveries, post, and courier management.
  • Facilities administration (office supplies and ensuring the canteen and all other areas are well maintained.
  • Assist the Senior Management team and other teams as required.
  • Manage the coordination of internal and external meetings and events, including travel arrangements.
  • Attend management meetings – distributing agendas, taking meeting minutes and sharing minutes to attendees in a timely manner.
  • Preparation of presentations and reports.
  • Assisting with other administrative duties as a necessary based on business needs.

The ideal candidate for this position will be results-oriented, a self-starter, and solutions-focused with little need for supervision. This person will need the following to be successful in this role:

  • Minimum 4 years' experience in a similar role.
  • PA/ EA experience desirable.
  • Knowledge/Skill set of ERP systems or CRM related database programs.
  • Familiarity with Microsoft Office: Word, Excel, and Outlook an asset.
  • Strong communication skills.
  • Proactive, solutions-focused person that requires little supervision; and
  • Team player with the ability to also work independently.
