We are hiring an Executive Assistant to help us realize our mission to better the lives of animals by building a place that's better for all of us who love them. Acting as the critical support for our C-suite, the individual in this role will be responsible for setting up our leaders for success with efficient planning, communication and organization.

More specifically, the Exec Assistant ensures the C-suite's day-to-day is spent as effectively as possible. The individual in this role manages a wide array of duties, including calendar planning, meeting follow-ups, communication, organization, expenses, personal support, and office logistics. This role is based in Los Angeles and will require in-person attendance, travel, local and national, including some time in our clinics, and develop an expertise in the operational foundations of Modern Animal.

What You'll be Working on:

  • Execution-Focused Time Management including supporting the CEO and COO in ensuring decision making and key implementations are managed through effective time management
  • Partner with company leadership, ensure the company calendar ties together key initiatives and company milestones, and make sure CEO and COO calendar aligns clearly with business priorities
  • Manage email and follow-up correspondences and scheduling of meetings, especially with external parties
  • Calendar Management including coordinating C-suite and some VP calendars as necessary to ensure effective time management and agile decision making
  • Build a 90-day and annual view of CEO and COO calendar, incorporating personal plans and activities to ensure time is managed seamlessly across personal and professional commitments
  • Manage board meeting calendar planning including evaluating and improving current operations and coordinate organizational procedures for optimized efficiency and productivity
  • Support the growth of the team through tracking org chart, decision making and meeting ownership
  • Facilitate key communications for the CEO and COO, including drafting messages and presentations
  • Define and implement cultural touchpoints for the CEO and COO, to ensure the mission and values of the company come through as we scale
  • Implement surprise and delight moments to build a culture of recognition and team development
  • Assist with large-scale meetings to help set up, provide refreshments, materials, etc.
  • Submit monthly expense reports
  • Complete personal tasks as requested to ensure the CEO and COO are using their time efficiently
  • Schedule appointments, complete forms and documents (including school and activity forms for families), schedule travel, manage calendar and personal to-dos / gifts as appropriate, not to exceed 30% of time
  • Complete errands or tasks that are reasonable and appropriate

  • 4-5 years of Executive Assistant experience preferred
  • Proven responsibility with confidential company information
  • Highly focused and energetic individual who works well with others
  • Facility for working in fast-moving, entrepreneurial environments dealing with multiple projects at a time
  • Excellent verbal and written communication skills
  • Hands-on, can do approach and demonstrated humility, with zero hesitation to jump into any situation necessary in the field or otherwise
  • Exceptional organization skills and ability to manage multiple project simultaneously
  • Operate with high emotional intelligence and exceptional listening / communication skills
