Job Title: Director of Grants and Contract Compliance

Position Summary
The Director of Grants & Contract Compliance works closely with Caritas program staff, finance team, and external funders, to ensure Caritas is excelling in complying with grants and contracts services, administrative, and financial requirements. This position supports programs to provide exceptional services to clients while meeting contract requirements and partners with the finance team to ensure contract spending and billing are appropriate. This position oversees contract reporting, internal monitoring, and external funder audits.

Essential Duties & Responsibilities (inclusive but not exhaustive):
  • Designs and implements agency-wide grant management strategies and develops supporting processes, systems, and tools.
  • Leads the Finance Grant Team, including holding staff accountable for meeting individual and program performance objectives by coaching, planning, monitoring, and appraising job results; conducting training; implementing and enforcing systems, policies, and procedures.
  • Facilitates contract kick-off meetings with relevant staff to implement and disseminate information about new and renewed funding requirements.
  • Interprets and communicates contract regulations and guidelines and coordinates execution of duties with staff.
  • Develops and implements a system for recording compliance information related to agency contracts, disseminating to program staff, and monitors and communicating changes as they occur.
  • Establishes, implements, and participates in creating systems and schedules for conducting internal programmatic reviews of activities and documentation to ensure compliance.
  • Leads the finance grants team in overseeing and managing multiple local, state, and federal government contracts.
  • Processes no-cost extensions, carry-over of funds, changes in key personnel, and other project modifications.
  • Supports the grants procurement team in preparing and submitting continuation grant funding applications, including project narratives and budgets.
  • Develops and maintains sub-recipient agreements as needed.
  • Coordinates with Program Directors and Finance Grants staff in programmatic and financial audits of sub-contractors on an annual basis, monitors performance and outlines corrective action plans when necessary to ensure compliance with funder requirements.
  • Supports and trains other departments in understanding compliance requirements
  • Maintains databases and other systems used to track relevant grant information.
  • Provides guidance to management and staff in determining allowable expenditures as necessary.
  • Coordinates communication between stakeholders throughout grant cycle to ensure quality and accountability.
  • Establishes and oversees a system to meet all grants and contracts reporting requirements.
  • Works with program managers and Finance Grants department to ensure the timely and accurate submission of required reports.
  • Provides oversight and support to the Grants Finance team during contract audits, desk reviews, site visits, and other monitoring activities and coordinate with appropriate staff to ensure that information and documentation is provided as requested.
  • Participates in long and short-term planning of department goals and objectives.
Qualifications:
Education
  • Required: Bachelor’s degree in business or related administrative field. Contract management is a plus.
Experience
  • Required: 7+ years of related experience; or equivalent combination of education and experience.
  • Preferred: 3 years of supervisory experience.
Salary/Benefits:
  • Base Salary Range: $81,780-$89,950.
