The Systems Maintenance Clerk I is primarily responsible for ensuring the accuracy of information used within all systems at Hercules Industries, which currently includes Harris Data 5.0, Latitude, and Phocas. The Systems Maintenance Clerk I will have a solid understanding of how all information is used throughout the systems. $22.00-$26.00 per hour

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Enter and maintain accurate item information from initial input and set up through a data sets useful life in both Harris and Latitude. This will include areas such as item setup, serial and lot number controls, item pricing and costing, inventory distribution information and system flags impacting sales, purchasing, and manufacturing functions.
  • Enter and maintain customer information that impacts shipping, billing, pricing, and accounts receivable, including process flags, drop ship information, credit limits, pricing strategy and salesman assignment.
  • Enter and maintain pricing information including list price, pricing strategy discounts and customer pricing contracts. This will include receiving and processing item pricing requests, preparing summary reports for review/approval as well as determining how to best implement approved pricing requests.
  • Enter and maintain item replacement costs and ensure that item price changes are in sync with vendor cost changes. This will include responsibility for the cost increase process with the purchasing team to ensure vendor cost increases are updated accurately and timely; Additionally, this will include periodic reviews of manufacturing costs and system cost updates where appropriate.
  • Enter and maintain vendor information that impacts purchasing and accounts payable, including process flags and credit limits.
  • Understand purchase order processing, customer order processing and inventory management practices in order to aid users in system processing within each area of the business.

  • High school diploma or GED required. Bachelor’s Degree in Business Administration or Operations Management is a plus. Minimum 1-year related experience or combination of experience and education that demonstrates the ability to perform essential duties and responsibilities.
  • Ability to effectively communicate with employees at every level of the company to make an accurate assessment of branch/company needs, project status and effectiveness.
  • Ability to document processes and identify areas of required improvement.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to organize and prioritize job projects and requirements.
  • Ability to effectively train employees in both new workflow functions and system operations.
  • A working knowledge of ERP and WMS distribution systems and/or HVAC distribution industry knowledge a plus.
  • Ability to pass a background check and drug test.

LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from groups of managers and peers.
MATHEMATICAL SKILLS: Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to interpret a variety of instructions furnished in written, oral or schedule form.
COMPUTER SKILLS: Excellent computer skills including Microsoft Office and operating software platforms.
ATTENDANCE DEMANDS: The attendance demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Attendance is required Monday through Friday 8:00 A.M. to 5:00 P.M. or within normal business hours as established by the supervisor. Employee may be required to work overtime, and occasional weekends.
