The Appellate Court Services Division (ACSD) is part of the
Office of the State Court Administrator
(OSCA) at the Oregon Judicial Department (OJD). ACSD operates the public clerk’s office and provides administrative support for the Oregon Supreme Court and Court of Appeals. ACSD also provides support and services to the Oregon Judicial Department, executive branch agencies, and the public.

Benefits to you

Position Highlights
We are hiring a Records and Courtroom Clerk (Court Operations Associate) to join us at the ACSD.
In this role, you will perform courtroom duties during oral argument for the Oregon Court of Appeals. This includes setting up the courtroom and testing equipment before court. You will facilitate remote and in-person court proceedings by operating the court’s electronic recording system, checking in attorneys, managing the webcasting of arguments, assisting judges and attorneys with technical issues, answering questions from the public, and posting argument recordings online.
When you are not in the courtroom, much of your day will be spent providing administrative support to the Appellate Court Records Section of ACSD, which includes analyzing, posting, and reviewing motions. You will draft and process orders and prepare, mail, and electronically post case correspondence. You will also respond to document requests from attorneys, the public, and internal court customers. This will include preparing, copying, scanning, and sending documents electronically and by mail. You will also process incoming electronic and physical exhibits from trial courts and agencies.
Part of your time will be spent processing incoming records from trial courts and agencies, creating folders, and managing the digitization of appellate records by retrieving and scanning files for the Court of Appeals and the Supreme Court into the online document repository.
Lastly, you will be expected to assist the public with questions, including taking payments, at the records counter and over phone.
Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

The qualified candidate must have a high school diploma or equivalent
AND
At least three (3) or more years of responsible experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.
OR
Any combination of
education and experience
equivalent to three (3) years of experience that typically supports the knowledge, skills, and abilities for the position.

  • Experience performing a variety of clerical or administrative support tasks that included using a computer to enter and retrieve information, meeting strict deadlines, and maintaining accuracy when interrupted or distracted by a noisy work setting.

  • Experience explaining processes, procedures, or policies.
  • Experience and skill in writing and reviewing documents for accuracy, content, grammar, and punctuation.

Working Conditions
  • This is a full-time position, and the work schedule is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per work week.
  • Occasional early morning, evening, and/or weekend or holiday work required.
  • Hybrid work may be available for this position after first year; on-site availability is required as needed. All remote work assignments begin, end, or change only with administrative authority approval.
  • Frequent phone and in-person contact with people from diverse backgrounds and with people who may be facing challenging life circumstances or highly stressful situations.
  • Long periods of sitting may be required.
  • Occasionally lifting items that weigh up to 40 pounds.
  • Occasionally retrieving files from a warehouse.
  • Regular use of the following equipment: telephone, electronic recording equipment, videoconferencing equipment, OJD-assigned computer with multiple monitors, copy machine, fax machine, microfilm, and scanner.
