Assist with the creation and management of court documents and assist the Municipal Judge in the administrative duties of operating a courtroom

Essential Job Functions
  • Prepares a variety of documents related to court operations including court orders, court calendars, and notices of hearings

  • Process and track warrants.

  • Serves in the courtroom, makes docket entries to reflect Judge’s Orders.

  • Contacts attorneys and other court personnel to resolve technical discrepancies with court filings

  • Responsible for compliance in accordance with Supreme Court Rule 37.

  • Prepare and send correspondence and a variety of other material, assemble and organize data; and prepare reports, and research informational material and edit for inclusion into reports.

  • Assist with various administrative tasks such as disseminating records, corresponding with attorneys and defendants.

Ancillary Job Functions
  • Greet callers and visitors; handle and process incoming calls; and answer questions.

  • Schedule appointments, receive and distribute mail, and assist in other supportive clerical work.

  • Balance and deposit money received.

  • May provide guidance and training to administrative staff.

  • Manage special projects as needed.

  • Perform other related duties as assigned.

Education and Experience - An equivalent combination of education, training and experience will be considered
  • High school diploma or equivalent required; Technical or Associate’s (two-year) degree preferred.

  • Minimum of five years relevant experience required.

  • Must possess and maintain a valid driver’s license.

  • Must possess and maintain Court Administrator Certification within four years of hire.

  • Ability to maintain a variety of complex records and prepare reports.

  • Knowledge of court procedures and policies, legal terms and court documents.

  • Ability to learn and interpret city ordinances and Supreme Court rules.

  • Demonstrated attention to detail and commitment to accurate results.

  • Strong computer knowledge and ability to use Microsoft Office programs; ability to quickly learn other software as needed.

  • Ability to operate office machines, such as telephone, fax machine, and copier.

  • Ability to communicate effectively, both orally and in writing.

  • Ability to establish and maintain effective working relationships with other employees and the general public; ease of interaction with a wide variety of individuals.

  • Ability to effectively organize and prioritize work and concentrate on multiple tasks simultaneously.

  • Ability to organize workload and comply with priorities and stringent deadlines.

  • Ability to work independently under general supervision and make responsible decisions.

  • Ability to use good judgment and think quickly and rationally in difficult or stressful situations.

  • Effective time management and organizational skills; ability to consistently meet deadlines.

  • Ability to attend night court.

Work Environment – Environmental or atmospheric conditions commonly associated with the performance of the functions of this job
  • General office conditions. Exposed to moderate noise levels.

  • Must be able to lift up to 20 pounds.

  • Regular attendance is a necessary and essential function.
