JOB
Provides professional, effective, and efficient customer service to the general public by performing a variety of administrative duties for the Recreation Department including creating print marketing material and newsletters, managing social media accounts, assisting with the implementation of special events and programs, creating financial reports, communicating with the public, and providing facility and building supervision. This positions hours are as follows: Tuesday through Friday: 11am-7pm and Saturdays 9am-5pm.

EXAMPLE OF DUTIES
Processes Parks & Recreation registrations/reservations utilizing Activenet software, answers related questions, collects associated fees and processes credit card payments including daily balancing and processing of refunds. Works closely with finance department to ensure financial accuracy.Creates newsletters, flyers, email correspondences and other department documents, by utilizing Microsoft, Google, and graphic design software programs.Prepares purchase orders, processes and tracks invoices including follow-up with vendors and preparation of necessary monthly reports. Develops print, website, and social media communications for the Fourth of July, New Berlin Senior Citizens Club and citywide special events.Assists the Recreation Manager and Recreation Specialists in implementing and overseeing special events throughout the year.Assists with the preparation of program materials, picnic rentals, facility reservations and athletic field schedules.Implements annual sponsorship requests and follows up with interested businesses and individuals.Identifies and develops processes that contribute to the efficiencies within the department.Answers incoming calls to the Department.Orders and stocks general office supplies for the department.Performs all other duties as assigned.

MINIMUM QUALIFICATIONS
Associate’s Degree in Recreation Management or related field, or minimum 3 years work experience in recreation or a related field.Preferred Qualifications One to three years experience working within a Recreation Department.Knowledge, Skills & AbilitiesExcellent organizational, coordination and tracking skills.Ability to work with customers and other employees under pressure and deadlines.Excellent communication skills.Proficient in the use of Microsoft Office Products including Word, Excel, Publisher & Power Point.Proven mathematical aptitude to perform general bookkeeping functions.Knowledge of records management and office procedures.Ability to present a positive image of the department and the City.Ability to self-motivate and work independently.Physical Requirements: Task involves sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to climb, balance, stoop, crouch, reach, stand, walk, lift, carry, push, pull, finger, grasp or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.Environmental Requirements: This position is sporadically subject to environmental conditions in which there is protection from weather conditions but not necessarily from temperature changes.Sensory Requirements: The task requires close visual acuity to perform various activities.The task requires oral communications ability.The task requires sound perception and discrimination.
