A team, headquartered in Warren, NJ is seeking an Administrative Assistant to provide high-level administrative support their rapidly growing practice. The Client Service Coordinator will oversee the general operation of the office. Responsibilities will include answering incoming phone calls, greeting office visitors, managing office supply inventory and placing supply orders, managing and distributing incoming mail, handling check processing, assist with managing and maintaining general IT and vendor services infrastructure, conference room management, organizing/scheduling team meetings and events, general marketing and compliance assistance, assisting Agents with client service requests and client communication, and some direct assistance to the Senior Partner.

General Office Duties:

· Unlock & Lock main office doors each morning/evening

· Mail Handling (Open incoming mail & distribute to Agents, assist with outgoing mail/UPS label requests/etc.)

· Check Processing

· Monitor supply levels (kitchen & office), place supply orders/organize supplies

· Keep reception area clean/mopped

· Print envelopes/marketing material as needed

· Manage conference room reservations

· Lunch & Learn organization/invites to team/compliance logging

· General IT & Vendor Assistance/Infrastructure management (phones, Xerox printer/scanner, Internet, Cable TV, Shredding, etc.)

· General Compliance/Marketing Assistance (serve as liaison between Barnum Marketing and Agents in instances where they want a Bio updated, want to plan an event, etc.)

Client & Agent Service Duties:

· Main phone line answering/transferring calls and forwarding voicemails to Agents

· General Client Service Assistance (help Agents in office with completing/submitting and following up on client/policy service requests)

· Greeting office visitors

· Creating Reports for Agents

* This role is directly hired by the Financial Service Representative(s).

Job Type: Full-time

Pay: $22.00 - $24.00 per hour
