Client Accounting - Manager

Summary: This position requires both the skill and knowledge in all aspects of accounting principles related to A/P, A/R, General Ledger, and Collections. This position requires a person who is a self-starter, detail-oriented, organized, capable of coordinating and completing multiple tasks simultaneously, and who works well under pressure. This position requires experience using Vantaca and AvidExchange/Strongroom.

RESPONSIBILITIES:

  • Manage the onboarding and off-boarding set-up of all Association clients’ information so that GL, AR, and AP can function at the start of every new client.
  • Ensure that all necessary Client information is set up with the bank on a timely basis. This includes Operating Accounts, Signature Cards, and all additional information needed.
  • Ensure that all necessary AP and Vendor information is set up with AvidExchange/Strongroom.
  • Act as liaison between our Accounting Department and individual Community Association Managers.
  • Be available to meet with Association Boards and individual Board members to address accounting issues and questions.
  • Manage the transfers of funds between the Client’s Operating and Reserve accounts.
  • Assist GL, AR, and AP Supervisors with escalated issues.
  • Develop and maintain System(s) Training Programs for staff and clients
  • Write and maintain custom standard operating procedures to increase system efficiency and lower the human intervention time on any tasks
  • Work on special projects as needed to meet the particular needs of senior management.
  • Manage 1099 forms for Association clients
  • Oversee, implement and monitor corporate accounting internal controls
  • Lead, direct, and guide as needed to direct reports in the daily operations and activities within the department
  • Hire, train and develop assigned staff
  • Establish and evaluate annual objectives to ensure the utmost quality and operational efficiencies
  • Perform employee performance reviews for all assigned staff
  • Develop, document, implement and enforce company policies and procedures as requested
  • Develop and oversee the preparation and maintenance of an accounting difficulty scale for each Association client.
  • Provide new employee training, client orientations, and other presentations.
  • Plus other work related tasks as needed

Performance Standards:

  • Ensure that all Association payables are processed within a defined timeline.
  • Review management fee and flat fee billings by the 5th of the month
  • Respond to all inquiries, both internal and external, within 48 hours.
  • Ensure that all Performance Standards for direct reports are met
  • Perform timely performance reviews of direct reports
  • Perform monthly one-on-ones with all direct reports

QUALIFICATIONS:

  • Must be professional in both appearance and presentation
  • Must be a self-starter who takes initiative
  • Must possess a high level of diplomacy, discretion, and confidentiality
  • Must enjoy working with people, have excellent interpersonal skills, and the ability to establish effective working relationships
  • Must have a proven track record in leadership practices, conflict resolution, and mentoring principles
  • Must possess practical verbal and written communication skills, which will enable clear, concise communications with staff, various boards of directors, and other outside business partners.
  • Must possess the ability to read, analyze, and interpret general ledgers and financial reports
  • Must possess the ability to define problems, collect data, establish facts, and draw valid conclusions
  • Must have outstanding multi-tasking aptitude as well as strong prioritization and delegation skills
  • Must exhibit excellent time management and organizational skills
  • Must possess the ability to work with mathematical concepts such as fractions, percentages, and ratios and apply them to practical situations
  • Must be flexible and easily adapt to changes
  • Must possess personal values that are in alignment with those of the company; Excellence, Partnership, Professionalism, Integrity, and Life Balance.

Education and Experience:

  • Bachelor of Science in Accounting or Finance required
  • Minimum five years of related accounting experience
  • Must have hands-on experience in all areas of an Accounting Department
  • Must be proficient in accounting software (Vantaca and AvidExchange/Strongroom required)
  • Must be proficient in Microsoft Office products, including Excel, Word, Outlook, and PowerPoint.
  • Must have a minimum of two years of supervisory experience
  • Knowledge of property management accounting is a plus.

Pay and Benefits:

$80,000 to $95,000, depending on education and experience
