Salary:

The salary for this position traditionally starts at $29,588.00 per year but may be commensurate with education and/or experience.

About the Job:

This role involves providing administrative support by maintaining and ensuring the integrity of the applicable medical and other databases, researching, and preparing various reports for the supervisor, typing documents/maintaining files, preparing, and filing various documents, and responding to agency requests for reports and information about various areas of responsibility. You will also coordinate administrative functions with supervisors, administrative staff, and other professional staff in the division and agency. In this position, you will collaborate with interdisciplinary professionals to determine and provide the best medical information possible to various stakeholders.

A Day in the Life:

The incumbent performs various clerical and correspondence duties for the Health Services Division of the Indiana Department of Correction. Representative duties include:

  • Greets and screens visitors and telephone callers relays messages
  • Receives, reviews, and responds to all in-coming health care correspondence regarding questions/concerns of/for incarcerated individuals and maintains an accurate, up-to-date log
  • Takes and types medical meeting minutes, letters, memos, and statistical reports
  • Performs other functions such as establishing and maintaining a filing system, making copies of documents, routing medical correspondence, and preparing departmental mailings
  • Operates/maintains various office machines such as a copy machine, facsimile, and a calculator
  • Communicates concerns and other information to the appropriate Health Services Division Executive Director
  • Maintains accurate appointment calendar for the Health Services Division
  • Schedule Health Services Division meetings and secure meeting rooms
  • Performs other duties as assigned

What You'll Need for Success:

  • General knowledge of office administration functions.
  • Effective communication skills.
  • Ability to pay attention to details and prioritize work.
  • Ability to establish cooperative work relationships.
  • Knowledge of and ability to use Microsoft Office including Word, Excel, PowerPoint, Teams, and Outlook.
  • Working knowledge of English grammar, spelling, capitalization, punctuation, sentence structure, letter form, and basic arithmetic.
  • Ability to maintain confidentiality.
  • Ability to work with the public and a diverse population.
  • Ability to learn software programs such as the electronic medical record (EMR) and other Department databases.
  • Knowledge and ability to utilize conflict resolution techniques.

Supervisory Responsibilities/Direct Reports:

This role provides direct supervision for one or more staff members.
