Job Summary and Qualifications

Responsible for providing direction for and management of the HealthONE Credentials Support Center. Provide direction and leadership in all areas of medical staff services support and system credentials process. Assist medical staff services in development, implementation, and adherence to medical staff organization governing structure and documents, as well as adherence to accrediting body and state/federal regulatory requirements


What qualifications you will need:

  • Associate’s or Bachelor’s degree in medical staff services science, business, or related field of study or an equivalent combination of training and experience required
  • Minimum of 5 years comprehensive credentialing experience in an acute care hospital or CVO setting
  • Minimum of 2 years supervisory/management experience

DUTIES INCLUDE BUT ARE NOT LIMITED TO:

Financial

  • Ensure the sound fiscal operation of the department, including the timely, accurate, and comprehensive development of an annual budget.
  • Monitor operating budget and staffing levels.
  • Demonstrate responsibility for the containment of costs through appropriate ordering of supplies, recovery of service charges, and conservation of supplies.
  • Monitor department expenditures to ensure compliance with budget limits.

Human Resources

  • Respond promptly to changes in workload, adjusting assignments as necessary to achieve optimal productivity and efficiency.
  • Select, orient, and educate department staff.
  • Develop standards of performance, conduct annual performance evaluation, and initiate or make recommendations for HR actions.
  • Provide leadership development to all staff for effective problem identification and resolution, and for efficient day-to-day operations.
  • Responsible for accurate time keeping in Kronos.

Operations

  • Establish and maintain department policies and procedures.
  • Communicate technical information in a manner appropriate for the intended audience.
  • Research all available options and make appropriate recommendations.
  • Coordinate the communication of information between the department, system facilities, and credentialed providers on behalf of the facilities.
  • Oversee department operations including providers’ requests for applications, customer support, collection of application processing fees, audits of applications released by the Credentials Processing Center, receipt of certain dynamic credentials (COPIC Insurance, DEAs, etc.), scanning, etc.
  • Ensure the delivery of quality services in area of operation.

Compliance

  • Ensure that operations conform to local, state, and federal governmental regulations.
  • Monitor compliance with the Board Resolutions including Informational Sharing Policy related to credentialing decisions and actions across HealthONE facilities and Board Certification.
  • Demonstrate accurate knowledge of relevant laws, policies, regulations, and standards affecting decisions and interpretations.
  • Communicate new or modified policies and procedures to appropriate colleagues thoroughly and promptly.
  • Observe, implement, and clarify policies, procedures, and regulations to facilitate department operations that are consistent with legal and organizational guidelines.
  • Develop systems, processes, and quality monitors.
  • Regularly update knowledge of techniques, guidelines, and regulations.
  • Maintain an acute awareness and accurate interpretation of the credentialing policies, procedures, rules, and regulations.

Specific Job Functions

  • Monitor compliance with Ethics and Compliance policies related to areas of responsibility, specifically CSG.QS.002.
  • Act as a Medical Staff Services Liaison for the Continental Division.
  • Act as an education resource and consultant to facility MSO colleagues.
  • Participate in internal audits and regulatory surveys.
  • Oversee maintenance of the Meditech Provider Dictionary.
  • Reconcile providers’ reappointment dates across the HealthONE facilities.
  • Produce the market credentials grid for the Clinical Patient Safety Quality Committee.
  • Support the Presidents’ Council.
  • Create and maintain market specialty clinical privileges.
  • Oversee Physician Services Aging Provider Assessment process for providers 70 and older.
  • Provide support to the Physician Referral Service by reconciling data entry changes from Photobook to Cactus and assisting with data export from Cactus to Photobooks.
  • Manage Contract Services Agreements for independent surgical first assistants, surgical assisting agencies and physicians with surgical assistants who wish to have a CSA.
  • Provide guidance with the processing of Dependent Healthcare Practitioners through Parallon Workforce Management Solutions.
  • Manage Telemedicine agreements with hospitals outside of HealthONE as it pertains to providers’ credentials.
  • Maintain ongoing relationship with Colorado Physicians Health Program for providers who are current clients of CPHP.
  • Manage National Practitioner Data Bank accounts.
  • Practice and adhere to the “Code of Conduct” philosophy and “Mission and Value Statement.”

KNOWLEDGE, SKILLS & ABILITIES

  • Excellent organizational skills; attention to detail.
  • Demonstrate knowledge and understanding of organizational policies, procedures, and systems, including confidentiality of privileged information gained as a result of job functions.
  • Ability to perform basic mathematical calculations, balance and reconcile figures, compile statistics; punctuate properly, spell correctly and transcribe accurately.
  • Analytical and problem solving skills required.
  • Proficient in Microsoft Office applications, Internet searches, and relevant data bases.
  • Ability to work independently and under pressure to follow through on issues.
  • Ability to communicate clearly and concisely, both verbally and in writing.

  • Ability to establish and maintain long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations.
