Great Circle Catering is an Aviation, Corporate and Event Caterer located in Portsmouth, NH. Here at Great Circle Catering, every day is new and exciting. DUTIES AND RESPONSIBILITIES

  • The position will include on-the-job training to provide administrative assistance to all aspects of our Administrative Team.
  • This role combines detail and task-oriented office responsibilities of an Administrative Assistant,

including data entry, compiling reports, filing, scheduling, light logistics planning, packing and delivering orders. Candidates are responsible for providing superior customer service to all clients and regular support to all members of the Great Circle Catering team during their shift, while also directly assisting the administrative team with assigned tasks and larger projects.

  • The ideal candidate should be positive, friendly, and outgoing; willing and able to work directly with the team, as well as independently, with great attention to detail, excellent organizational skills, and good communication. Candidates should be motivated and enthusiastic; A passion to please customers, with a true desire to support the overall success of the team - to make their jobs and existing processes within the office both more effective and more efficient.

  • Answer the Telephone and direct calls appropriately
  • Manage weekly order boards
  • Responsible for weekly confirmation and execution of delivery systems
  • Deliver corporate orders
  • Pack for appropriate deliveries throughout week
  • Manage and order inventory for catering equipment
  • Print and create necessary labels and signage for upcoming events
  • Cleanliness and maintenance of production areas
  • Banking Procedures
  • Data Entry
  • Work on internal projects
  • Keep stock of labels necessary for catering
  • Check in deliveries
  • Provide administrative support to Office and Catering Teams
  • Take detailed notes from customers
  • Scan Receipts and invoices into Quick Books
  • File receipts and invoices
  • Handle shipping and receiving: incoming and outgoing mail
  • Run errands when necessary


REQUIRED SKILLS/ABILITIES

  • Previous work experience in a relevant category: Office support, customer service, sales support, administrative assistance (Preferred; min. 2 years)
  • Other work experience in areas such as tech support, office administration, inventory management, etc.) (Preferred; min. 1 year)
  • Ability to type
  • Cash Handling skills (Required)
  • Basic math skills
  • Basic Computer skills, including running a Windows operating system, and experience using basic Microsoft programs (Word, Excel)
  • Knowledge of the Square system (Preferred)
  • Hands on experience with POS systems, inventory management
  • Working knowledge of office equipment, like printers and Scanners
  • Basic understanding of sales principles and customer service best practices
  • Experience with scheduling
  • Good time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Teamwork and motivational skills
  • High School diploma or equivalent (Required)
  • Bachelors or associates degree(s) (Preferred)

PHYSICAL REQUIREMENTS

  • Ability to lift, carry, push and pull up to 30 lbs.
  • Ability to stand or sit for long periods of time

BENEFITS For PT Employees

  • Up to 56 hours of sick time. One (1) hour of sick time to be accrued every thirty (30) hours worked.
