POSITION SUMMARY
The Care Team Assistant is responsible for the smooth operation of the front office. Duties include but are not limited to: meeting and greeting patients, answering phones, triaging calls, scheduling patients, verifying and updating patient information, screening callers for appropriate insurance information, taking messages, obtaining physician orders for patient treatment, acting as a patient liaison, assuring efficient patient and chart flow throughout the clinic, working with physicians, practitioners, and other staff members, maintaining open lines of communication with the rotating physician offices, provide back up for the CU Sports Medicine Medical Record Representative and the Referral/Insurance Specialist maintains a high level of professionalism, maintains strict confidentiality.

JOB QUALIFICATIONS
Education or Formal Training
1. High school graduate or equivalent preferred.
2. Secondary education and/or equivalent work experience preferred.
3. Medical terminology preferred.

Special Qualifications (Licensure, Registration, etc.)
Knowledge, Skill and Ability
1. Must have excellent organizational, communication, and writing skills.
2. Excellent interpersonal skills.
3. Basic computer/keyboard knowledge.
4. Ability to maintain a high level of accuracy and attention to detail in all duties performed.
5. Appropriate phone etiquette and communication skills.
6. Ability to work independently and make decisions.
7. Knowledge of insurance, billing and collection procedures in a health care setting.
8. Computer proficiency and expertise in hospital designated software program.
9. Excellent spelling and grammar skills; ability to prioritize and maintain a high degree of confidentiality; ability to interface with patients and their families, and outside agencies in a professional manner; willing to accept additional responsibility as needed; ability to be flexible and to work with many interruptions from a large number of staff.
10. Excellent problem solving skills including ability to identify multiple factors that may impact decisions and then select best option. Seek additional input when necessary.
11. Ability to exercise tact, judgment and resourcefulness in creating and maintaining harmonious relations working with co-workers, patients, families, visitors, physicians, and the general public.
12. Represents self in a professional manner.
13. Ability to maintain composure and a high level of productivity in a busy setting with many interruptions.
14. Ability to maintain high levels of confidentiality.
15. Ability to screen requests/problems/phone calls to the medical providers, managers, and directors.
16. Ability to use a variety of office equipment.
17. Ability to work well in a team-oriented environment and with diverse personalities.
18. Proficiency in a foreign language is beneficial.

Experience
1. Previous experience working in an office setting, preferably medical. Includes public contact, reception, and scheduling duties. Knowledge of Medical Terminology preferred.
2. Previous medical scheduling experience preferred.
3. Keyboarding, filing, office procedure classes and/or experience desirable.
4. Customer service experience preferred.
WORKING ENVIRONMENT/PHYSICAL ACTIVITIES
1. Requires 6-8 hours of sitting and/or standing, walking and frequent changes of position.
2. Standing and reaching files 6 feet high.
3. Standing and filing for lengthy periods of time.
4. Occasionally required to kneel, squat and sit.
5. Ability to occasionally support, push, pull up to 30 pounds.
6. Tolerance to a high noise level, multiple interruptions and an ability to meet deadlines.
7. Ability to work well under extreme stress, perform many tasks at once without supervision.
8. Moderate to high stress level caused by regular contact to challenging patients and situations, busy work environment, and rapidly changing situations, interruptions, and schedule changes.
9. Occasional stressful encounters with staff, patients, families and physicians.
10. Must have manual dexterity to write and operate required equipment, and be able to lift items from floor to 12 inches over head of varying weights, primarily less than 20 pounds.
11. Visual acuity for reading printed information and using computer.
12. Hearing acuity to use telephone, communicate with staff, patients, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Consistent and on time attendance is an essential function of the position.
2. Exhibits and promotes ENCORE! principles and philosophy.
3. Greets patients, upon their arrival, and notifies practitioner/PT staff of patient arrival.
4. Answers, screens and directs calls taking messages or finding people when necessary.
5. Communicates effectively with public, peers, patients, physicians, clinicians, etc.
6. Provides patient information when appropriate and knows when it is not appropriate.
7. Schedules appointments for practitioners and physical therapy staff according to established clinic guidelines.
8. Collect co-pay and visit payments.
9. Handles cancellations according to established clinic guidelines.
