Stoel Rives LLP has an immediate opening for a Business Development Technology Coordinator in any of our offices.

The Business Development Technology Coordinator is a key member of the Marketing Communications and Operations team and also serves on the Business Development (BD) Support team as a technical liaison. Under the leadership of the Business Development Technology Manager, this role is primarily responsible for supporting the technology tools that provide for the firm’s business development, marketing, communications needs. This position contributes to the operations of the firm’s webinars, website, blogs, client relationship management system (CRM or “InterAction”), proposal generation system (Foundation), e-Marketing, Search Engine Optimization (SEO) and analytics, as well as BD components of the firm’s internal portal. The Stoel Rives Business Development Technology Coordinator is a self-starter and strategic thinker who has a passion for marketing technology, excellent written and verbal communication skills, and can work across all levels of firm management.


ESSENTIAL FUNCTIONS/RESPONSIBILITIES

Webinar Administration

Overall responsibility for the technical components of business development-related webinars.

Specific tasks include:

  • Schedule webinar via Zoom.
  • Generate/share links for panelists, hosts, and attendees.
  • Facilitate “questions in-advance” link (Alchemer Survey), as needed.
  • Tech setup day-of.
  • Monitoring tech during live event.
eMarketing (Tikit) Administration

Provide oversight and support for eMarketing campaign including client alerts and event invitation.
  • Support the distribution of legal updates as needed, including layout and distribution. Provide guidance regarding best practices and adherence to established norms.
  • Provide technical support for business development-related events. Lead the creation and administration of registration forms, evites and mailing lists. Ensure established checklist of activities are followed. Attend planning meetings, work with the teams to develop a schedule to perform the evite distribution, provide reports and manage the registration process. Run and distribute post-event reporting and analytics, ensure CRM system is updated with activities and attendance data.
  • Provide guidance and assist with mailing list development and management for eMarketing activities.
  • Drive technology-based execution of client-facing virtual events, including the creation and distribution of meeting information, providing moderator support including dry-run and other technical preparation, liaising with technical support, as needed.
  • Provide in-person event support as needed.
  • Work with the BD Technology Manager on ensuring the development of functioning templates that accommodate event needs.
  • Work with contracted designer or develop graphic elements as needed for eMarketing deliverables.

CRM Administration

Day-to-day oversight of the firm’s CRM system. Manage the intricate processes, procedures, and best practices to ensure the optimal functionality and data integrity of the systems. Serve as a technical resource/point person for troubleshooting issues and developing solutions for the CRM system. Specific tasks include:

  • Manage firm lists, including mailing lists, event lists and working lists. Provide guidance and instructions, as needed.
  • Set up new firm users and manage email groups, as needed.
  • Provide end-user guidance and troubleshoot issues, as needed.
  • Develop and leverage reporting tools to support cultural acceptance of CRM and support various business development initiatives.
  • Serve as a resource to attorneys, practice group leaders and business development managers to design efficient and effective use of CRM by individuals and groups.
  • Oversee distribution of all firm communications.

Other Duties/Responsibilities

  • Provide content management support of the firm’s external websites and blogs. Help develop, and support SEO and user experience strategies based on search result algorithms and analytics. Monitor quality and accuracy of content
  • Assist the Senior Manager, Marketing Communications & Operations and BD Technology Manager in the tracking, reporting, and analytics of business data and KPIs to show department efficacy and support data-driven decision making. Oversee & coordinate with team the creation of quarterly and annual reporting of dept. activities and analytics
  • Support the department and firm’s adoption and use of Foundation for experience management.
  • Help maintain shared knowledge resources including Portal, OneNote, and iManage. Support the functioning of the pooled BD support team with training, resources, and integration.
  • Other duties as assigned.

ESSENTIAL CAPABILITIES

  • Solid team player with excellent interpersonal skills, demonstrated ability to work successfully with attorneys, clients, staff, community, and vendors.
  • Strong client service attitude highly desired.
  • Knowledge and proficiency with Microsoft Word, Outlook, Excel, and PowerPoint. HTML, Cascading Style Sheets (CSS), InterAction, Tikit and Foundation knowledge a plus.
  • Strong project and time management skills with outstanding writing and grammar skills.
  • Must be able to multi-task with strong project management aptitude.
  • Willing to learn new things and systems and capable of working remotely and independently while participating as a team member.
  • Must possess strong leadership skills with the ability to work independently and take initiative.
  • Possible travel outside of residing office to assigned offices for on-site event management and execution as well as attendance to firm-wide events as directed by dept. leadership.


EDUCATION & EXPERIENCE

Bachelor’s degree in Marketing, Communications or Business-related areas required, or equivalent job experience. One to three years marketing experience required, preferably in legal or professional services environment.


NORMAL WORK HOURS

This position is non-exempt and is eligible for overtime compensation. This is a fully remote position. Candidate can be located in any region in which we have an office, though office hours will be Pacific Time. Regular working hours are 8:30 a.m. to 5 p.m., Monday through Friday.
