Definition of Class

This position administers and coordinates the activities of registration, grading, course scheduling, degree audit, graduation, transcript recording, diploma distribution, re-admission, technical support activities, and exercises discretion and independent judgment. Incumbent supervises and trains professional and support staff in activities associated with on-line data processes. Incumbent understands student privacy issues and those laws and regulations governing the safe keeping of student records. Incumbent has excellent communication, collaboration, assessment, and project management skills. Incumbent is knowledgeable in the operational and functional aspects of student information systems and the integration of the student information system with other systems.

Examples of Work Performed

Manages and coordinates departmental operations associated with assigned operational functions.
  • Maintains master academic calendar of events.
  • Maintains academic history of students and stays up to date on industry best practices in records management.
  • Oversees master set of transfer articulation rules. Oversees the process of determining transfer of credit in consultation with academic departments and deans.
  • Works with faculty and other campus constituencies to ensure appropriate compliance with federal, state, and institutional policies, laws, and mandates.
  • Coordinates, maintains, analyzes, and manages records concerning academic programs and program requirements and develops processes to award degrees and certificates.
  • Assists in creating, organizing, and leading commencement services. Leads multi-departmental teams to implement graduation events. Develops processes and procedures for distributing academic honors, diploma distribution, and other critical components of the graduation and commencement process.
  • Conducts final review of academic schedules in consultation with Publications.
  • Oversees the scheduling of classrooms in consultation with academic departments.
  • Oversees system testing and installation. Develops appropriate manuals and training materials. Researches and recommends, computer software and hardware products. Performs problem analysis and specification studies.
  • Defines and maintains users, applications, and devices on the network.
  • Prepares various reports and analysis for administrative utilization and reporting.
  • Assists in developing and implementing departmental policies, procedures, process improvements, and automations.
  • Contributes to the development of the departmental strategic plan.
  • Provides leadership to personnel to develop skills, strategies, and systems needed to successfully achieve enrollment goals.
  • Develops and maintains collaborative, team-oriented, institution-wide relationships that support the effective deployment of enrollment management systems.
  • Serves as Registrar in their absence.
  • Performs related or similar duties as required or assigned.

Essential Functions

These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.

1. Manages and coordinates activities relating to daily operations of the registrar’s office within assigned operational areas.
2. Manages staffing and processes to ensure operational expectations and student service standards are met. This includes anticipating workloads, appropriately deploying staff, and evaluating business processes for efficiency and quality standards.
3. Works with student information system managers to ensure a comprehensive and effective records management system.
4. Supervises and trains staff.

Minimum Education/Experience

Education:
Bachelor’s Degree from an accredited college or university.


AND


Experience:
Three (3) years of experience related to the above described duties.


Substitution Statement:
Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
