We are recruiting for an Assistant Property Manager to join our team to lead the operational success of our student living community. This role is primarily responsible for all financial activities, managing the Entrata system onsite, and resident relations for the property. The Assistant Property Manager also serves as the back-up to the Property Manager in their absence and provides overall support to the property to ensure the success of the property’s overall performance.

Your Mission
  • Provide leadership for the property on all financial and operational activities and assist the Property Manager in their responsibilities as needed
  • Accounting and Systems
  • Complete all accounting and bookkeeping tasks according to the annual accounting calendar, overseeing all billing for residential and commercial accounts
  • Assist with preparing financial reports, budgets, revenue projections, and variance analysis. Provide assistance for the corporate accounting department as necessary
  • Ensure vendor W-9s are received at the time of hire and before any work is done for all vendors
  • Review, code, and enter approved invoices in accordance to company standards and policies. Maintain an organized file system for all AP and AR related items
  • Collect and enter all payments into Entrata. Aggressively pursue payments on all delinquent accounts, exhausting all applicable collection efforts prior to commencing eviction proceedings and maintaining accurate records regarding skips, evictions, and residents on notice
  • Communicate any delinquencies or concerning situations with Property Manager regularly
  • Ensure that all leases have been correctly entered into Entrata, including but not limited to lease dates, rental amounts, billing dates, residential info, and guarantor information. Audit lease files to maintain accuracy and consistency
  • Ensure all residents are assigned to the appropriate apartment and are moved-in, moved-out, and transferred when necessary. Maintain accurate records and files of a resident that has indicated they would like to modify their lease
  • Resident Relations
  • Maintain positive customer service outlook and manage all resident complaints with Property Manager
  • Promote harmonious relations among residents, staff, campus personnel and the community
  • Property and Maintenance
  • Ensure winter break, spring break, and summer break unit inspections are documented and billed appropriately
  • Charge residents appropriately for all billable maintenance and repairs
  • Generate and deliver notices to residents for lease violations and/or fines
  • Assist in seeking qualified vendors to receive bids for turn-over maintenance
  • Help maintain all vendor insurance information in the Insurance Log
  • Turnover
  • Spearhead the turnover process; ensure all billable work is charged to resident accounts
  • Mail a final account statements and/or refunds within the timeframe provided by local law
  • Risk Management
  • Identify potential liability issues to minimize risk exposure and losses by communicating any physical facility and resident safety concerns to the Property Manager and/or Maintenance Supervisor
  • Ensure vendors have the required insurance coverage and certification before work is performed; Review all service contracts with corporate legal department
  • Human Resources
  • Assist Property Manager payroll activities, including but not limited to generating timesheets and leasing commissions, ensuring all tax forms and other related payroll documents are in compliance, and assisting with scheduling of part-time employees
  • Assist in maintaining high employee morale at all times and lead by example
  • Leasing, Marketing and Public Relations
  • Generate and suggest marketing ideas to the Property Manager and Leasing Marketing Managers
  • Seek information from residents, future residents, and prospects regarding the property and provide information to Property Manager
Your Track Record
  • Bachelor’s degree preferred, or comparable experience in the student housing space
  • At least 2 years in property operations and/or leasing in the student housing or residential property management industry
  • Experience in Entrata or similar systems strongly preferred
  • Excellent customer service and resident relations track record
  • Experience with financials and budgets strongly preferred; Basic Microsoft Excel experience required
