Assistant Project Manager:

We are currently seeking an experienced Assistant Project Manager for our Copiague, NY location.
The APM will support our team to make sure all of our commercial door projects not only run smoothly, but are well documented. The APM will ensure that submittals, RFIs, change orders, and other project documentation are sent out on time, in professional manner, and followed up on.


Primary Responsibilities:


  • Liaising with project managers/ stakeholders concerning project details and deliverables
  • Develops solutions to ensure that issues don’t become problems.
  • Assisting in the planning and implementation of new projects
  • Analyzing data as required.
  • Reviews bid specs/ project drawing set, looking for potential issues prior to job start.
  • Ability to develop contingency plans in the event an item on the critical path is delayed.
  • Plan, coordinate, and document to avoid potential risk.
  • Has a thorough understanding of the subcontractor scopes/ contracts and can identify opportunities and risks.
  • Holds our subcontractors to the same standard of being Proactive.
  • Demonstrate a comprehensive knowledge of the status of every project under your control.
  • Properly plan, schedule, track/ report project and materials delivery to ensure that company commitments are met.
  • Tracking and reporting project progress.
  • Helping to coordinate and manage project tasks and deliverables
  • Conducting administrative duties, such as printing drawing sets, setting up meetings, drafting change orders and drawing change request estimates, obtaining, and compiling project closeouts.
  • Upload new projects on Procore will project information including but not limited to: Assign Project Manager / Site Super, upload project information to project document folders, Drawings, Specs, Prime Contract, Invoice Setup, etc.
  • Request, compile, send and obtain approvals on Submittals / Submittal Log and RFI Documents via Procore, keeping track of status, following up on outstanding returned submittals/ RFI’s.
  • Manage Specifications/ Plans on Procore- Ordering, organizing, superseding, and distributing drawings and specs to all associated parties.
  • Create RFQ’s/ send out Owner Change Orders/ Subcontractor Change Orders reviewed/ approved by Project Manager. Follow up to confirm vendor has received, follow up to make sure material will ship out on time, etc.
  • Manage the project schedule and ensure that all key milestones dates are met. Take corrective actions as required to maintain the schedule.
  • Attend project meetings as requested and ensure that issues are addressed timely by the responsible party and track/ confirm resolution and upload meeting minutes to Procore.


  • Ensure that projects are completed timely, below budget and to the satisfaction of the customer.
  • Performing other duties assigned by Sr. Project Coordinator and/ Project Manager in an orderly and efficient manner.
  • Work alongside Project Manager and on-site Superintendents to deliver the highest possible quality and customer satisfaction.
  • Identify and negotiate time extensions where justified and or allowed.
  • Ensure that every project is managed to maximize client satisfaction and ensure that the project quality control plan is in effect and followed.
  • Proactively monitor the progress of the project through updated schedules.
  • Review and ensure that the safety plan is in place prior to starting work.
  • Complete all activities with pride in their work, achievements, and a pride of ownership.
  • Ensure company contractual standards are being met prior to performing work.
  • Demonstrate adherence to and performance in keeping with the goals of company.

Qualifications:


  • 1+ years’ experience in construction project management and knowledge of all phases of construction management
  • Proficiency with Microsoft Word, Excel, Project
  • Exceptional organizational skills
  • Must have commercial construction experience.
  • Experience with RFIs, change orders, and submittals preferred
  • Strong administrative skills- ability to maintain clear notes, keep organized records and time-management
  • Must be able to manage multiple tasks and have excellent follow up skills both internally and externally.
  • Ability to assist in preparing documents reflecting scope, budget, and schedules.
  • Knowledge of Procore, SE and other construction-related software preferred
