Queen Kapiolani Hotel is currently in search of part-time Assistant Front Office Manager
In 1967, the Hotel was built on royal lands overlooking Kapiolani Park, the State’s greatest park which is named after the Queen herself; for decades the Hotel was the favored place where locals and guests gathered for brunch, dinner, weddings and graduations; its location at the beach was perfect for kama’aina surfing; and its art collection and music programming rivaled that of any hotel in Honolulu.
Queen Kapiolani Hotel has 315 rooms with unobstructed views of Diamond Head and is only steps away from Waikiki beach.
Our ideal candidate directs and provides for the safety and security of guests, Bell, Valet, Front Desk, and hotel property in an effective, professional and guest-friendly manner commensurate with the demands of a four-star hotel. In addition to assisting in the operation of the Front Office operation and guest services personnel, this position will respond quickly to guests in a friendly manner and ensures that appropriate action is taken to guarantee guest satisfaction. The Assistant Front Office Manager should possess strong communication skills and demonstrate leadership abilities. Oversees continuous security related procedures of all guests and back of house areas. Conducts investigations and provides timely follow-up concerning all hotel safety-related issues. Utilizes cost-efficient technologies and techniques to provide effective and seamless provision of security services.
This position will be required to work evenings and weekends and must have schedule flexibility for holidays and emergencies.
Essential Experience/Aptitudes:
  • High school graduate or equivalent.
  • Basic understanding of business service functions. Knowledge of Microsoft Office applications. OPERA PMS system knowledge is a plus.
  • Must be flexible - able to work AM, PM and Overnight Shift.
  • At least 2 years supervisory experience within the Rooms Division.
  • Demonstrated ability to effectively interact with people of diverse socio-economic, cultural, and ethnic backgrounds.
  • Service oriented style with professional presentations skills.
  • Must possess the following strengths: high energy, entrepreneurial spirit, motivational leader, effective communicator, and effective in providing exceptional customer service.
  • Clear concise written and verbal communication skills in English
  • Must have excellent organizational, interpersonal and administrative skills
  • Demonstrates knowledge of security regulations and procedures.
  • Ability to effectively deal with internal and external customers,
  • Ability to listen effectively, speak, read and write English clearly to ascertain and document important information.
  • Ability to stand, walk and/or sit and continuously perform essential job functions for duration of shift.
  • Perform tasks requiring bending, stooping, kneeling, and walking significant distances between and within buildings on the property.
Essential Job Functions:
  • Organizes, directs, and monitors daily activities of front desk agents.
  • Ensures efficient, friendly, and professional guest interactions; observes front desk agents to ensure that established procedures are followed.
  • Sets goals, provide ongoing feedback, and reward/recognize team members.
  • Ensures all company brand standards are implemented.
  • Establishes procedures, prepares and coordinates schedules, and expedites workflow.
  • Reviews current day’s expected arrivals and checks all VIP and special request reservations to ensure that they are pre-registered, blocked properly, and other departments are notified of room assignments.
  • Conducts daily pre-shift meetings and training.
  • Reviews status of reservations on a daily basis; relays all pertinent information to front desk agents and other appropriate staff.
  • Ensures all necessary reports and forms are completed daily.
  • Performs front desk agent responsibilities as needed to process guests expediently including but not limited to checking guest into hotel, responding to guest questions, resolving guest concerns, answering telephones, making guest reservations, and checking guests out of hotel.
  • Ensures that guests’ needs are fulfilled and their stay is as pleasurable as possible; assists with dining, entertainment, or transportation reservations as needed.
  • Assists front desk agents with resolution of guest concerns as needed.
  • Monitors and maintains the lobby area.
  • Ensure all operations and cash handling are done per policies and procedures.
  • Creates and maintains reporting procedures of all security incidences.
  • Evaluates associate performances and takes appropriate corrective action as needed.
  • Directs or conducts investigations concerning security violations or infractions of company policy; coordinates with outside law enforcement agencies as needed.
  • Coach and counsel employees to reflect Sightline Hospitality service standards and procedures.
  • Establishes procedures, prepares and coordinates schedules, and expedites workflow.
  • Possesses and maintains thorough knowledge of hotel services, facilities, policies, and room rates and area’s attractions.
  • Performs other related duties as assigned.
Essential Physical Abilities:
  • Moving about the hotel and facilities
  • Use a keyboard to operate various property management systems, etc.
  • Carrying, pushing, or lifting items weighing up to 25 pounds
  • Frequently standing up and moving about the facility
  • Frequently handling objects and equipment to maintain the facility
  • Frequently bending, stooping, and kneeling
  • Communicating with other people
