Join us for an outstanding summer as our Arts Administrative Assistant-Rental Logistics for the upcoming season of Interlochen Arts Camp. In this role, you will assist in planning, organizing, and coordination of the summer high school music camps that visit and utilize Interlochen facilities during the month of August. Housing and all meals are included with this position. The dates of employment are 6/19/22-8/21/22 and the stipend for this position is $2,103.

Major Responsibilities:

  • Assist in communicating with post-camp high school ensembles regarding ensemble and site logistic needs for their August visit

  • Assist in developing and maintaining content management tools to track administrative needs. This includes forms, spreadsheets, program timelines, etc.

  • Work with Interlochen staff across campus to assist with post-camp high school ensemble pre-planning. This includes, but is not limited to, working with safety, camp life, health services, transportation, lodging, dining, maintenance, stage services, and mailroom staff.

  • Serve as main point person while ensembles are onsite to assist in managing and troubleshooting site logistics alongside Interlochen staff.

  • Develop and update appropriate communication materials as required by high school ensembles and Interlochen staff.

  • Provide general day-to-day support to help operate the office. This includes, but is not limited to: answering phones, filing, creating and updating program materials, data entry, copying, and staffing the office.

Experience and Skills:

  • Ability to work under pressure, manage multiple needs, problem solve, and set priorities for the successful management of the High School Ensembles.
  • Highly organized with the ability to handle multiple tasks simultaneously while maintaining a high level of customer service.
  • Comfortable with a changing work environment.
  • Excellent oral and written communication skills.
  • Training and/or experience in event planning and/or arts administration.
  • A background in the arts, especially in ensemble management or high school band, choir, and/or orchestra programs, is highly desirable.
  • Light to moderate physical activity including walking long distances and lifting heavy equipment such as boxes, tables, and chairs will be required.
  • May be required to work at a computer workstation for extended periods of time.
  • May be required to walk, work outdoors, drive a golf cart or other vehicle, or work in various locations from time to time.
  • Must have working knowledge of clothing designs, both contemporary and historic
