Job Title: After School Care Program Director

Program: Alliance After-School Care

Reports to: Executive Director

Overview

The After School Care Program Director is a full-time, exempt status position responsible for all aspects of Alliance After-School Care (ASC). This position will oversee a staff ranging from 50 to 70 during the school year. This position is responsible for program direction, staff leadership and program and financial management. This position will hold a leadership position in the agency and will from time to time be required to speak in public representing the After School Care and the other agency programs.

Job Functions

Staff Functions

  • Direct responsibility for (or delegation of) all hiring and training of all ASC Staff and ensuring education of and compliance with all Alliance for Women & Children policies as well as DFPS Licensing requirements and CCS requirements.
  • Direct responsibility or overseeing supervision, scheduling and staff compliance issues for all ASC Staff.
  • Directly responsibility for all staff policies specific to the ASC.
  • Direct responsibility or overseeing of regular staff meetings to both support the staff and ensure all meeting and training standards.
  • Responsible for triaging after hours phone calls and ensuring all emergent situations are handled in a timely manner.

Program Leadership

  • Serve as the primary contact and liaison with all school district officials. This includes keeping contracts current and establishing new contracts when appropriate and abiding by policies set forth in contract, as well, to maintain regular contact with school district officials at each operating site.
  • Keeping informed of any activity that might impact the program or the schools to be accomplished in part by attending school board meetings in each school district and other meetings which may affect the program in the community.
  • Responsible for seeing that the After School Care program meets all requirements of the Texas Health and Human Services Minimum Standards/Child Care Regulations.
  • Responsible for maintaining and enhancing Texas Rising Star Certification.
  • Responsible for all communication with Child Care Regulations officials and for timely response to investigations and compliance issues.
  • Responsible for (or delegation of) compliance with and oversight of Food Program Assistance.
  • Keeping the Executive Director informed of any compliance issues or significant program risks be it program, location or client issue.
  • Responsible for oversight and initiation of program curriculum and the implementation of such programming to include enrichment.
  • Will ensure staff are adequately trained and facilitating Leader in Me curriculum.
  • Attend program manager and all staff meetings.
  • Serve as the liaison and point of contact for any funding organization that grants funds specifically to the After School Care program. This is done in collaboration with the Executive Director.

Program Compliance and Financial Management

  • Prepare and maintain an annual program budget for review by the executive director and finance committee of the board of directors
  • Responsible for growth of program enrollment and maintaining an appropriate enrollment to meet budget requirements
  • Monitor and adjust program guidelines to support both the mission and financial goals – this will include an annual review of rates and conditions as well as any update to program handbooks
  • Maintain Directors License and fulfill all requirements necessary for licensure, including continuing education and training
  • Ensure the maintenance of program statistics including clients’ age, ethnicity, school campus, enrollment, withdrawal, and outreach and education impact necessary for grant reporting or overall program management
  • Responsible for grant writing, assuring all grant responsibilities are met, completing grant reporting and seeking out new grant opportunities, as directed by the executive director
  • Responsible for the supervision of financial assistance, scholarship, CCS and ensuring client billing is accurate and timely
  • Management of accounts receivable balances – to include clear billing and collections efforts

Agency Leadership/Involvement

  • Work with the executive director on publicity, advertising, media communications and other external communications.
  • Attend trainings including those required statewide Texas Health and Human Services. Trainings may be local or out-of-town. Overnight travel may be required.
  • Identify and schedule participation health fairs, seminars, and other outreach activities including presentations to community groups to educate families and children regarding the After School Care program. Be the primary representative of the After School Care and program.
  • Adhere to policies and procedures of the organization, including those related to health and safety, client confidentiality and quality management
  • Perform all other duties as assigned by the executive director.

Job Requirements
A degree in one of the following areas: business, communication, organizational management, early childhood development, or a related field. Minimum of 1 year experience in a licensed child care facility – however 2 to 3 years of management in a child care related career is preferred, qualified to obtain Child Care Licensing’s Directors Certification. Hold or be willing to acquire CPR / First Aid Training. Licensed to drive an automobile and must maintain a clear MVR. Flexible hours between 8:00-6:30 pm based on 37.5-40 hours work week.

Physical Requirements

Stand or sit for at least 3 hours at a time – lift up or carry up to 25 lbs – hold a license to drive a vehicle – climb two flights of stairs.

  • Knowledge of Child Care Regulations Minimum Standards and regulations.
  • Ability to plan, organize and direct multiple activities within a program.
  • Knowledge of a general budget
  • Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments.
  • Ability to develop short and long term goals.
  • Ability to foster a cooperative work environment and work in a collegial fashion with peers in other organizational units.
  • Employee development and performance management skills.
  • Knowledge of staff hiring procedures.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Strong organizational skill, attention to detail, and ability to accurately maintain documentation.

Job Type: Full-time

Pay: $50,000.00 - $58,000.00 per year
