Position Summary

The Administrative Office Manager will be responsible for the administrative operations of the Miami, Boca Raton and West Palm Beach offices, ensuring that the highest quality of service is delivered to local client service providers as efficiently as possible, while adhering to firm-wide policies, standards and procedures. This individual will ensure strategic operational accountability in the location(s) and will maximize change management to develop and/or contribute to, and ensure the successful implementation of, alternate ways of working in order to achieve/maintain service standards.

Job Responsibilities:

Leadership

  • Oversee the day-to-day office management, operations and workflow of the administrative staff.
  • Act as a liaison between attorneys and administrative support to ensure staffing, training and service expectations are met.
  • Resolve issues and questions that may arise among attorneys and staff.
  • Develop strong firm-wide relationships to ensure effective operational and strategic management of location(s).

Staff Management

  • Manage, coach, counsel, and develop administrative support staff in location(s) to ensure that high-quality client service standards are met efficiently.
  • Determine and maintain support staffing levels that are appropriate and required in location(s) in order to achieve client service objectives in the location(s); ensure appropriate support staff assignments and work-load balancing among staff; redefine position responsibilities and performance objectives as needs and resources change.
  • Manage the administrative "human capital" requirements of the location(s), including: support staff recruitment, compensation, performance evaluations, attendance, overtime.
  • Facilitate onboarding/offboarding of attorneys and staff

Operations

  • Plan, budget and execute all Firm activities in location(s) and ensure appropriate local administrative support.
  • Work with third-party vendors contracted to do business in location(s).
  • Collaborate with other Office Managers to ensure common firm-wide operational procedures consistent with client service objectives.
  • Ensure effective communication of all services available within location(s) and of means to secure such services.
  • Ensure landlords' compliance with lease obligations including landlord-supplied maintenance items and common-area management.
  • Proactively address individual office facilities' needs with onsite contact
