POSITION SUMMARY:

Acts as the primary administrative support for the Nursing Department; is the first contact for visitors, students, staff, faculty and telephone callers to the department.


ESSENTIAL FUNCTIONS:

  • Assist Chair/Directors and program coordinator in the preparation of the department’s annual reports, accreditation, and other surveys and update accordingly.
  • Responsible for data entry (pertaining to clinical requirements of students and faculty) into department and/or electronic databases promptly and accurately.
  • Provide administrative assistance to Department Chair, including but not limited to: letters, scheduling appointments, travel arrangements, mileage requests, time sheets, annual updates to Student Handbook and Faculty Handbook, license verifications, and other faculty documentation.
  • Maintain department budget, print bi-weekly reports as needed, complete all required documentation and communicate with the director as budget issues arise.
  • Greets students, faculty and visitors to the department in a professional manner.
  • Answer incoming phone calls and handle incoming and outgoing faxes.
  • Schedule appointments and maintain Microsoft Outlook calendar for department chair.
  • Provide administrative support for faculty. This includes formatting course syllabi and exams.
  • Photocopying as requested by faculty, program coordinator and department chair/director.
  • Manage department files and electronic documents with a high level of confidentiality.
  • Arrange and facilitate multiple department events that may occur outside of the typical workday (evenings/weekends).
  • Process daily mail and facilitate work orders for maintenance needs within department.
  • Helps maintain and provide support for office equipment, computers and AV equipment.
  • Order and inventory all departmental supplies.
  • Promptly communicate issues requiring a higher degree of expertise to the program coordinators and/or director of program.
  • Ability to maintain a high level of confidentiality, accuracy and integrity.
  • Performs additional job related duties as assigned.


REQUIREMENTS:

  • High School diploma and two years of experience.
  • Some college preferred.
  • Demonstrated proficiency with MS Word and Excel. Previous database experience preferred.
  • Ability to plan, organize, prioritize, meet deadlines and manage multiple projects/tasks in a fast paced environment.
  • Excellent customer service and positive interpersonal skills.
  • Knowledge of medical terminology preferred.
  • Must be able to work independently and collaboratively.
  • Must be willing to be responsible and accountable for the quality of work.
