The Position

We are a fast-moving, collaborative team whose goal is to provide a positive experience and peace of mind to our employees by addressing all technical service issues and requests. This position demands a supercharged all-in-one-doer, administrator, operator and hyper-organized individual.

Responsibilities:

  • Provide administrative support to the Head of Information Technology and members of IT team
  • Complex calendar management with internal and external stakeholders
  • Liaise with vendors for various company services and procurement
  • Monitor service contracts and renewal agreements/terms
  • Creating work orders and purchase orders on Yardi for submitted quotes.
  • Preparing technology service-related bills (one time and reoccurring) for processing, inputting order completion into our financial platform
  • Following up with finance teams with unpaid invoices
  • Reaching out to service providers re: invoice discrepancies
  • Calling in for service changes and submitting repairs for outages.
  • Provide phone coverage and assignment of tickets to help-desk staff where necessary
  • Manage all day-to-day office matters

Requirements:

  • Minimum of 3+ combined years office management and administrative support
  • Demonstrate outstanding customer service skills
  • Strong communication, both verbal and written
  • Incredibly detail-oriented
  • Self-starter: can take even the smallest project and run with it to the successful completion
  • Ability to stay on top of new tools and technologies with an interest and passion to constantly learn
  • Will exercise discretion (confidentiality) and independent judgment in the representation of the company
  • Strong proofreading skills
  • Ability to handle difficult situations professionally and with courtesy

Preference will be given to candidates with experience with:

  • Bachelor’s degree in Information Technology, Computer Science, or a related field
  • Financial or Technology services industry experience
  • Advanced software skills MS Office suite (Excel, Word, Teams, Forms, Outlook)
  • Confidence in decision making, you are organized with the ability to multitask and prioritize and re-prioritize as things come in
  • Proven analytical, troubleshooting, and problem-solving abilities.
  • Ability to effectively prioritize and multi-task in a fast-paced environment
  • Team player

Total Compensation:

  • The base salary range* for this position is $55,000.00 to $65,000.00 per year
  • This position is eligible for a discretionary bonus
