JOB SUMMARY
Provides administrative support to the HIM Director, staff, patients and all department visitors by handling a variety of task in order to ensure that all interactions between the organization and others are positive and productive. Assist the HIM Director with coordination and scheduling of meetings, performing written and verbal communication to include department meetings. Performs administrative and clerical duties for the HIM department. Non-exempt position.
ESSENTIAL FUNCTIONS
Responsible for maintaining security and confidentiality regulations for record access and review
Assist with ordering supplies, processing purchase orders for invoices and codes items correctly
Schedule meetings between departments, directors/managers
Makes arrangements for and coordinates meetings, conferences for HIM Director
Assist staff in contacting responsible physician/s in a professional, tactful manner, if something is needed on chart.
Notifies director whenever work is more than 48 hours behind deadline
Assists director with state requirements and reports
Assist in maintaining delinquency count
Assist in maintaining Release of Information Accounting of Disclosures and Outstanding Balance reports.
Assist in running and updating EM Bell Curve report
Assist and notify HIM Director of any pending queries, deficiencies, etc.
Assist in maintaining the Coders productivity report
Assist with testing and rollout of upgrades and builds on EHR system to gain efficiencies.
Able to answer general questions in an expedient manner; directs other questions/inquiries to appropriate staff for resolution.
Exercise the highest degree of confidentiality and professionalism with all requests and inquires.
Resource for EHR applications and systems
Scans and verifies charges for pathology reports
Accepts additional assignments as needed
POSITION REQUIREMENTS
Minimum Education
High School diploma or GED required
2 years’ administrative experienced preferred.
Proficient in Microsoft (excel, power point, word, etc.)
Required Skills
Must possess superior ability to communicate effectively in English, both verbally and in writing. Additional languages preferred.
Excellent interpersonal skills and customer service.
Must possess high degree of organization and be able to multi-task efficiently and effectively.
Advanced computer knowledge required, including proficiency in Microsoft Office and Outlook.
Ability to use standard office equipment (copier, fax, etc.).
FUNCTIONAL DEMANDS
Functional Job Requirements:
Job requirements include, but are not limited to: sitting, standing, walking, kneeling, bending, squatting and reaching. Requires good finger dexterity, repetitive motions with hands and fingers. Requires ability to have good vision and hearing. Pushing and pulling equipment may be necessary.

Job requires medium lifting on an occasional basis.
