The Dallas District is looking for an Administrative Assistant to support the Ellis/Navarro County Area Office. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. In this role, candidates will support the team members by providing professional assistance to employees and visitors, handling office tasks, inventorying supplies, and managing filing systems. Successful candidates will be those who are responsive, attentive, comfortable communicating with all Department employees, and able using computers and software to complete tasks.

This position is for an Administrative Assistant I or II. The Texas Department of Transportation reserves the sole right in determining the level of position based on the applicant's work experience, education, skill level and all other appropriate factors, and based on business need.


Minimum Salary : 35,000.00 Maximum Salary : 47,000.00 Pay Basis : Yearly

Travel : Yes, 10 % of the Time

Position Description


Administrative Assistant I:
Performs administrative office support-related work for the Ellis/Navarro County Area Office staff and the general public. Work requires contact with middle and high-level managers. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Administrative Assistant II: Performs administrative office support-related work for the Ellis/Navarro County Area Office staff, the general public, and one or more projects or specialized programs. Work requires contact with middle and high-level managers and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence

Essential Duties:

Administrative Assistant I and II:

  • Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistanta
- Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, and travel information.
- Prepares and distributes correspondence.
- Receives, sorts, opens, evaluates content, and distributes mail.
- Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
- Delivers and picks up confidential or time sensitive mail/correspondence.
- Performs other job responsibilities as assigned.

Additional duties for an Administrative Assistant II include:

  • Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments in computer system as needed.
- Maintains records and inventories of materials, supplies and equipment.

Minimum Qualifications:

Education: High School Grad or Equivalent in general high school studies.

Licenses and Certifications:

Valid driver’s license. This position requires driving a state vehicle.

- Applicable computer systems and applications

Skill in:
- Maintaining effective working relationships with others
  • Preparing and maintaining confidential and sensitive records, files and reports
- Communicating technical information effectively
- Maintaining a safe working environment

Ability to:
- Communicate effectively
- Follow verbal and written instructions
- Protect sensitive and confidential information

Additional competencies for an Administrative Assistant II include:

Skill in:
- Coordinating and scheduling activities/resources

Ability to:
- Maintain composure when handling problems, stressful situations, continuous-change or unexpected developments

Physical Requirements and Working Conditions:

  • Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
- Sitting - prolonged periods of time
- Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
- Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading
