Administrative Assistant
Serene Home Nursing Agency, one of Long Island’s largest home care agencies, is actively seeking an administrative assistant to work Monday to Friday 9am-5pm in our Patchogue office. Applicant must possess strong leadership skills and a background in the health care industry is preferred.
Education/Skill Set:
- An Associates degree or business school degree in a business or healthcare-related emphasis preferred
- An understanding of QuickBooks, data entry- invoicing and accounts payable
- Intermediate computer skills, Microsoft Word, Internet skills and an understanding of network systems
- Ability to troubleshoot basic interdepartmental computers and printer issues to assure appropriate functionality
- Ability to copy and scan documents, fax, send emails with attachments, and write a formal letter if needed.
- Strong communication and organizational skills a must
- Ability to multitask
Job Responsibilities:
- Direct assistant to upper management and bookkeeper with accounts payable- assisting with various office duties and tasks when needed including, but not limited to, data entry, formal letter preparation and internet-related tasks
- The ability to work as a team member and the ability to professionally adapt to industry and company changes while maintaining leadership/role model qualities with an upbeat friendly disposition
- Ability to effectively meet and greet people and maintain a dignified, neat professional work environment.
- Pleasant and productive phone mannerisms with the ability to direct calls with a positive attitude to appropriate departments when needed.
- Sort daily mail and distribute to correct departments including patient documentation
- Order and monitor all office supplies and equipment while minimizing waste and unnecessary purchases
- Assure patients in the field receive medical supplies such as gloves needed via mail
- Assure all departments have needed equipment and supplies and are well maintained
- Assure all supplies are organized and stored appropriately in storage areas
- Assure all departments (including bathrooms and kitchens) have needed supplies and are organized
- Bilingual is a plus!
