Job Description

Position Title: Administrative Assistant

Department: Administration

Reports to: Chief Operating Officer

Position Summary:

Reporting to the Chief Operating Officer, this role will be responsible for the day-to-day workflow and executive support of agency operations. This role is responsible for supporting both the Day Program and the Main Office. For the Day Program department job duties, this role will work closely with program management and take responsibility for coordinating multiple projects designed to meet program goals and objectives. For Main Office responsibilities, this role will handle day-to-day tasks, coordinating program-related internal and external communications, office day-to day functions such as mail, package returns, office maintenance and inventory systems and controls.

Essential Job Functions:

Office Responsibilities:

· Handle reception duties including greeting customers and processing mail, package returns.

· Onsite maintenance repair, communication, and coordination with contractors.

· Oversee the ordering of inventory/classroom supplies and development of inventory system.

· Ensure all supplies are organized and kept at appropriate stock levels.

· Coordinate fire drills for office staff and ensure that other building safety and/or compliance requirements are met.

· Prepare purchase orders for any office supplies and equipment and submit to the COO for review and approval.

· Review invoices for services rendered and submit to the Finance Department for payment.

· Perform other duties and special projects as assigned.

Day Program Responsibilities:

· Schedule new clients for Day Program classes.

· Distribute class links for our virtual learnings.

· Assist with additional data entry as needed.

Minimum Requirements:

· Associates Degree or 2 years of related job experience.

· 1-3 years of experience working with office administration and inventory management.

· Proficient in MS Office Suite, with a high level of competency with Excel and database management.

· Authorized to work in the U.S.
