The Position:

We are looking for an Administrative Assistant to join our tight-knit team. As an Administrative Assistant, you will be responsible for providing support to the Office Manager by performing a variety of administrative and clerical tasks. A successful Administrative Assistant will ensure that the day-to-today office operations are organized and efficient.

  • Provide administrative support to ensure efficient operation of the office.
  • Answer the phone and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Greet anyone entering the office, determine the nature and purpose of the visit, and direct or escort them to specific destinations.
  • Monitor, forward, and respond to emails.
  • Maintain office supply inventory and restock office supplies as needed.
  • Collect, sort, and distribute incoming USPS mail. As well as prepare outgoing mail (checks, invoices, etc.)
  • Handle vendor updates such as COI's and W9 maintenance.
  • Maintain an organized filing system.
  • Print vendor invoices and distribute them to the proper employee for approval.
  • Reconcile American Express and Home Depot receipts.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

Qualifications:

  • High School diploma or equivalent required.
  • 1 - 2 years as a receptionist or administrative assistant preferred.
  • Experience with Microsoft Office (Excel, Outlook, Word, and PowerPoint) required.
  • Bilingual (Spanish-English) is a plus.
  • Excellent written and verbal communication skills.
