Summary:

Processes credits/debits for material or services received by mail or electronically from customers or company employees by performing the following duties.

Essential duties and responsibilities include the following. Other duties may be assigned.

Account Services:

  • Reviews credit/debit requests and RMA’s for accuracy, completeness and that they are legible.
  • Reviews credit/debit requests and RMA’s with department manager for compliance with existing policies.
  • Research information and computes credit/debit amounts as necessary.
  • Consults with other departments, salesmen/reps, or clients as necessary to obtain information and expedite the processing of credits/debits.
  • Enters data into computer according to established procedures and formats.
  • Generates credit/debit memos and proofreads for accuracy.
  • Sorts, copies, mails, and distributes credit/debit memos to appropriate persons.
  • Records or files copies of credit/debit memos appropriately for easy retrieval.
  • Enters and maintains customer account information in the Avante System.
  • Coordinates credits/debits and periodic reports for special programs as requested.
  • Answers questions and provides information as needed for clients and associates.
  • Complies statistics and prepares various reports as assigned by management.
  • Assists the department manager as requested.

General Business Administration:

  • Source and manage office supplies and lunchroom supplies.
  • Coordinate employee appreciation events.
  • Manage customer visit events. (meal arrangement, room prep, cleanup)
  • Schedule and setup training/conference rooms.
  • Sustain sign-in books and guest badges at front entrance.
  • Maintain safety glasses stock and condition in preparation for visitors.
  • Coordinate travel arrangements for infrequent travelers.
  • Coordinate mail run issues as needed.
  • Act as contact point for front door guests.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience: One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills: To perform this job successfully, an individual should have knowledge of database software; manufacturing software and word processing software.
