JOB SUMMARY


The Women’s Ministry Event Coordinator supports the Women’s Ministry by coordinating logistics for all ministry programs to effectively support the Women’s Ministry Team, initiatives, and community of women at CBC.

ESSENTIAL FUNCTIONS

  • Creates and manages all online and in-person event registrations
  • Collaborates with the Women’s Pastor and Women’s Ministry Team members for all events, programs, and initiatives
  • Communicates with various ministries regarding all Women’s Ministry programs and initiatives
  • Maintains a working relationship with all volunteers, vendors, and venues
  • Collaboratively plan event aspects, such as event details, seating, dining, and guest lists
  • Collaborates with team members to fulfill event responsibilities and tasks
  • Organizes and manages pre-planning, day of the event, and post-event: including organizing vendors, communicating, coordinating staff and volunteers and stations, problem-solving, directing event set-up and tear-down, execution, and follow-up, etc.
  • Communicate and collaborate with ministry teams and marketing teams to create effective advertisements for each event, and when necessary, crafting marketing materials such as print and internet advertisements for individual events
  • Anticipate and plan for different scenarios
  • Manage and assist with the recruitment, selection, and training of volunteers
  • Ability to plan multiple events at a time
  • Schedule and coordinate staff and volunteer meetings
  • Ensures each event is provided with quality services, security, and preparedness
  • Manage event planning, implementation, and assessment of activities, conferences, meetings/luncheons, leader training, and special events
  • Manage setup & tear-down of various ministry training and events
  • Manage event registrations and room reservations for various ministry needs and program activities to include set-up, technical and audio requirements, refreshments and/or catering, and handouts, study materials, and guides (Service U and Shelby software)
  • Prepare registration and record attendance. Prepares and submits various reports and communications
  • Carefully stays under budget while planning event specifications
  • Issuing invoices and collecting payments in a timely manner, and creating comprehensive and readable financial reports
  • Collaborate and monitor social media promotion, engagement, and activity
  • Other duties and responsibilities as assigned

  • Ability to discern and maintain confidentiality
  • Knowledge of computer office applications and equipment. Strong proficiency in Google Suite (Gmail, Sheets, Docs, Slides) or MS Office (Outlook, Word, Excel, PowerPoint)
  • Knowledge of basic accounting principles
  • Adaptable to learning new and customized software programs

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position (40 hrs.) (Mon. -Thurs. plus occasional weekends, evenings, and special events required)

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee may be regularly required to do the following:

  • Must have a good or corrected vision as well as effective peripheral vision, depth perception, and ability to adjust focus
  • Must have good manual dexterity and be able to use repetitive motion of the hands and arms
  • Must be able to remain in a stationary position for extended periods of time
  • This position will require standing and walking during events
  • Must be able to move about office and storage rooms to perform a variety of tasks
  • Must be able to frequently and effectively communicate in both written and verbal form
  • Must be able to lift up to 25 pounds
  • Occasional reaching, stooping, kneeling, bending, and crouching
  • Ability to work collaboratively and communicate effectively with team members at all levels of the organization

EDUCATION AND EXPERIENCE

  • High school education, GED, or equivalent experience required
  • Bachelor’s degree is highly preferred
  • Minimum 3-5 years of experience working or volunteering in a programs/events ministry or corporate event planning, preferably in a large, high-capacity work environment

WORK ENVIRONMENT

  • Duties are performed in an indoor office ministry setting with occasional outside events/activities that require prolonged standing. The environment may be fast-paced and hectic at times. Therefore, it is essential that the employee can effectively handle the normal anxieties associated with the job and manage multiple activities in an office setting.
