SUMMARY

Provide overall administrative and volunteer support for Lowell Transitional Living Center.

PRIMARY RESPONSIBILITIES

  • Volunteer recruitment - recruit volunteers on an ongoing basis, but specifically 1-2 months prior to the annual 40-hour training.
  • Volunteer organization, responsible for maintaining updated volunteer list and coordinating the volunteer schedule.
  • Ensure that incoming volunteers are equipped with all the materials knowledge needed to begin volunteering upon completion of the 40-hour training.
  • Assist with the Voices’ 40-hour training as needed.
  • Maintain regular communication with volunteers, organize regular volunteer meetings, develop and execute volunteer recognition program.
  • Coordinate Voices’ social media content and scheduling.
  • Coordinate the Purple Passion 5K Committee and activities related to the run/walk and other special events.
  • Participate in Voices’ rotating support-line schedule.
  • Assist in coordinating client-centered events including the Holiday Giving Program, backpack drive, etc.
  • Attend & participate in team meetings as requested and communicate effectively with clients and staff in other areas.
  • Maintain confidentiality of client, employee and agency information in accordance with federal and state laws and funder requirements.
  • Ensure compliance with program/department, agency and/or funder requirements, as well as, SMOC policies & procedures.
  • Other duties as assigned.

KNOWLEDGE AND SKILL REQUIREMENTS

  • High School Diploma or equivalent
  • Minimum years of related experience: 1-2 years preferred.
  • Experience with Excel, Windows, and Word on PCs.
  • Ability to work well as part of a team in a busy, very high-volume environment.
  • Ability to handle potentially stressful situations and sensitivity to the needs of clients.
  • Highly organized and skilled in multitasking.
  • Strong verbal communication skills.
  • Must successfully complete a mandatory 40-hour training to satisfy the requirements of MGL Ch.233 Sections 20J and 20K.
  • Bi-lingual (English and Spanish or Portuguese) preferred.
  • Understanding of confidentiality requirements.
  • Special events and experience a plus.


ORGANIZATIONAL RELATIONSHIP

  • Directly reports to Outreach & Prevention Manager.
  • Indirectly reports to none.
  • Direct reports of this position are none.
  • Indirect reports of this position are none.

PHYSICAL REQUIREMENTS

  • Mobility to use office machines
  • Sitting for long periods of time.
  • Ability to verbally communicate via telephone
  • Ability to lift up to 30 lbs.

WORKING CONDITIONS

As part of the responsibilities of this position, the Administrative Assistant will have direct or incidental contact with clients served by SMOC in various programs. A successful background check is required.
