The Volunteer and Engagement Coordinator will work with the Director of Development and other organizational leaders to coordinate CommuniCares volunteer program and support community engagement services. CommuniCare Health Centers is a Federally Qualified Health Center providing comprehensive patient-centered primary care services including medical, dental, substance use treatment, mental health, health education and outreach services to low income, multi-ethnic, uninsured and underinsured populations.

SITE/HOURS: 40 hours per week, Monday Friday. Office located at CommuniCare Health Centers administrative headquarters in Davis. Partial remote work possible and travel to other sites may be required.


RESPONSIBILITIES:

There are two primary goals of this position. (1) Ensure organization has volunteers to fulfill its mission by performing a variety of duties involving recruitment, training, tracking and program planning. (2) Assist with some day-to-day functions of the Development Department; specifically assisting with communications and in-kind donation coordination
.


VOLUNTEER SERVICES

  • Act as contact for all requests from potential volunteers for placement in an appropriate site and/or volunteer opportunity. Work collaboratively with CommuniCare Health Center Managers and others to assess volunteer needs and recruit as necessary based on organizational needs.
  • Work with internal and external points of contact to identify and onboard University of California, Davis medical/dental externs, medical residents, and students/interns, as well as others as identified/needed.
  • Work with internal and external points of contact to identify and onboard students completing clinical rotations, medical assistant externs, and dental assistant externs.
  • Process new volunteer and student rotation applications including ensuring requirements are complete. Regularly review and ensure volunteers and students are current with required screenings and vaccinations.
  • Maintain responsibility for coordinating community volunteers, processing applications, on-boarding, tracking volunteer information including maintaining a roster of current and past volunteers.
  • Maintain contact with AmeriCorps Coordinator for placement of an AmeriCorps Member in the Volunteer Infrastructure Project. Supervise AmeriCorps Volunteer Infrastructure Project Fellow create workplan and complete member evaluation.
  • Coordinate, monitor, evaluate, and provide quality improvement initiatives to the organization-wide volunteer program.
  • Develop and maintain volunteer training materials needed.
  • Produce periodic reports that include volunteer utilization and organizational impact.
  • Assess effectiveness of volunteer trainings and make recommendations for improvements.
  • With oversite from COO, negotiate new and renewal MOU/Affiliation Agreements with partner organizations, as needed.
  • Track, maintain, renew, and archive MOU/Affiliation Agreements between CommuniCare and Partner organization. Maintain up-to-date spreadsheet of current MOUs in place.


ENGAGEMENT SERVICES

  • Development Activities
  • In partnership with Director of Development and Finance Department, coordinate, monitor, solicit, and track organizational in-kind donations and contributions.
  • Support organizational participation in annual virtual fundraising events including Big Day of Giving and Giving Tuesday.
  • Build and provide engagement and fundraising reports as requested.
  • Support Director of Development with event planning and public facing events, as needed.
  • Social Media and website
  • Support and monitor organizations online presence, including social media platforms as needed. Provide recommendations and support to improve, as needed.
  • Support the content development of communication materials including annual reports, newsletters, e-blasts updates, program and site-based brochures and other materials.


ADMINISTRATIVE SUPPORT

  • Assist Chief Executive Officer and Director of Development with the recruiting and on-boarding of new volunteer board members, as needed.
  • Assist Director of Development with planning annual retreat for Board of Directors, as needed.
  • Provide support and backup for the Executive Assistant with Board of Directors meeting support, including assembling board packet, calendar, and minutes, as needed.

MINIMUM POSITION REQUIREMENTS:


Education & Experience:
AA/AS or BA/BS preferred but not required. Prior work experience coordinating and/or managing volunteer activities preferred; experience working in a health care organization highly desired.


Special Skills/Equipment: Intermediate to advanced proficiency using Microsoft Office applications (Excel, Word, PowerPoint) required. Experience with Volunteer Impact is desired or willingness/ability to learn. Must be well-organized and have a high level of attention to detail and accuracy. Must possess exceptional verbal skills and strong written communication skills.

Ability to assimilate new information and communicate effectively to others. Ability to operate office equipment, including computer equipment. Must be able to sit or stand for long periods of time, with occasional walking. Requires a moderate level of mobility, dexterity, and flexibility to perform essential functions. The employee is occasionally required to stand, walk, bend, reach with hands and arms, and lift 25 lbs. Hearing and close vision abilities required. Work is performed in a typical office environment with moderate equipment noise. Employee is expected to have the ability to work remotely, at this time. Exact expectations for location (i.e., remote from home and/or at the CommuniCare Administration office) for this position will be determined upon hire. Travel to all agency sites required.

PAY RATE:

  • The pay range for this position is $18.20-$24.70 per hour. Starting pay within this range will vary depending on job-related knowledge, skills, abilities, and experience.
  • May be eligible for annual 2% + 0-2% merit-based pay adjustment (0-4%).
