KEY ACCOUNTABILITIES:

  • Maintain daily calendars of executives including the organization of meetings, video conferences and teleconferences (IDL).
  • Make travel arrangements for Directors, VPs and related staff members as required.
  • Answer, screen and direct customer and incoming business telephone calls.
  • Provide support and assistance with expense reports and reimbursement for executives and department management as needed.
  • Consolidate travel expenses, seminar requests, training/ education reimbursements and vacation requests and send to executive for approval.
  • Act as a department liaison for department and work with division staff to coordinate solutions for issues or complaints across the business.
  • Escalate problems or roadblocks to management to get resolution and direction as needed.
  • Assist with a variety of business and employee reports for management. This includes collecting information from the departments supported and consolidating numbers to redistribute to the management team.
  • Coordinate expenses with the accounting service center and answer any questions that they have on how to code certain expenses and to which department cost center.
  • Assist with meetings including the printing, collating, and distribution of binders and highly confidential materials to executives and staff.
  • And any other duties assigned.

KNOWLEDGE AND EXPERIENCE:

Education Level: AA Degree preferred.

H.S. Diploma or G.E.D. required.

Experience Level:

2-4+ years’ experience providing high level secretarial and administrative support in a senior executive environment.

Skills and Experiences:

  • Able to perform all work efficiently and under pressure.
  • Must possess strong inter-personal skills that includes customer service and employee relations.
  • Ability to work independently with minimal direction, high degree of dependability.
  • Ability to prioritize work assignments and be detail-oriented and flexible in a rapid-paced corporate environment.
  • Self-starter with the ability to perform work at stringent levels of efficiency and under pressure.
  • Must have solid MS Office skills including Word, Excel, PowerPoint, and Outlook.
  • Effectively communicates to all levels of the organization using diplomacy skills.
  • Self-motivated, assumes personal accountability for results and performance.
  • Autonomously meets goals and deadlines.
  • Demonstrated track record as proactive trusted advisor/thought leader in an organization, particularly around strategic issues to drive results.
  • Balances the needs of multiple stakeholders while maintaining strong executive level partnerships.
  • Demonstrates the highest levels of ethics and policy compliance at all levels.

PHYSICAL ENVIRONMENT:

  • Sits for extended periods of time.
  • Bending, stooping, and twisting required periodically.
  • Uses calculators, keyboards, telephone, and other office equipment in the course of normal workday.
  • Workday is fast paced.
