MAIN FUNCTION:
Support the System Director with transcription operations, quality improvement activities, and projects as applicable for overall support of the mission of the Arnot Health System.

DUTIES AND RESPONSIBILITIES:

1. Manages functions and personnel in the Health Information Management/Health Information Services transcription department.

2. Coordinates and monitors workflow in transcription including monitoring, assigning, supervising and delegating responsibilities among staff. Provides productivity monitors as required by position.

3. Possesses medical transcription skills including medical terminology, spelling, and strong grammar.

4. Evaluates performance and initiates or recommends to the Director of the department personnel actions, such as wage adjustments, promotions and disciplinary action. Assists with development and maintains job descriptions for staff.

5. Schedules staff according to the department needs, including benefit time, holidays and illness/leave.

6. Manages payroll activities for staff including pay calculations for transcription employees paid by the line.

7. Is responsible for developing and providing new staff orientation and training. Responsible for staff meetings, in-services and continuing education as appropriate. Develops in-service education programs related to dictation and transcription as needed.

8. Interacts with providers to communicate system changes in dictation and transcription, developing and enhancing templates, problem solving with the medical staff for optimal functioning related to dictation and transcription, assigning of dictation numbers or delegating as appropriate, or working with individual providers as needed.

9. Maintains active and appropriate communications with other department including the medical staff. Works collaboratively within the department, committee, peers and other disciplines/departments.

10. Investigates, documents, and provides follow-up for any concerns related to transcription quality. Actively performs quality monitoring and reporting along with provide necessary education or identify needs tor outside education. Prepare and submit QI plan as required.

11. Performs an active role of System Administrator for Dictation and Transcription systems. Trouble-shoots system performance of dictation, transcription, and interface activity. Works with vendor and/or other departments as necessary for efficient and accurate system operations.

12. Participates in committee functions relative to transcription via standard reports as well as ad-hoc reports identified as needed.

13. Assists with budget preparation and evaluates budgetary compliance. Reports budget variances as required by position. Takes an active role in cost containment.

14. Assists with the creation and/or coordination of policies and procedures for consistency within Health Information Management/Health Information Services across the Arnot Health System.

15. Maintains knowledge of all regulatory agencies. Coordinates internal mechanisms to ensure compliance with all HIM requirements.

16. Supports daily activities by performing transcription duties as appropriate.

17. Maintains professional skills and refines expertise through appropriate educational/developmental activities and professional affiliations.

18. Must possess the highest ethical standards with respect to discretion and regard for confidential information.

19. Is responsible for attending all annual mandatory educational programs as required by position.

20. Employee understands and demonstrates the importance of satisfying the needs of the
customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer’s needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with the Medical Center.

EDUCATION/EXPERIENCE:
5 years experience as a Hospital Transcription Supervisor or an associates’ degree with 3 years practical experience as a Medical Transcriptionist in an acute care setting as well as 3 years experience in a supervisory role.

EXPERIENCE:

  • Strong computer skills.
  • Strong proofreading and editing skills
  • Excellent skills in English usage, grammar, punctuation, and style
  • Expert knowledge of medical terminology including anatomy and physiology, disease processes, signs and symptoms, medications, and laboratory values.
  • Ability to educate and train
  • Ability to problem-solve
  • Good organizational skills

Job Type: Full-time

Pay: From $51,480.00 per year
