Title: Talent Acquisition Coordinator

Location: 100 W Anderson St, Orlando, FL 32801, United States

Duration: 12 months contract

Job Description:

Partner with the manager and employees to provide support related to the processes and programs specific to the designated Human Resources (HR) area of assignment. Provide high level administrative support to the Talent Acquisition Team . This position will work in a team-oriented environment and will provide support to the department through a strong work ethic, sense of commitment and a strong desire to succeed.

Skills Required:

  • Provide diverse high level administrative support to the Talent acquisition area of assignment;
  • Coordinate Talent Acquisition related activities and events for the designated department(s);
  • Assist assigned department(s) in carrying out various HR programs and procedures;
  • Ensure documentation received and distributed is in compliance with HR policies and ensure records meet record keeping guidelines;
  • Recommend process improvements for processes in designated HR area;
  • Partner with Talent Acquisition Partners and Managers to support and coordinate recruiting events, and interview schedules, including in-person and telephone interviews for recruiters and managers;
  • Assist with application reviews and candidates’ phone screening
  • Input and maintain the Talent Acquisition file system up to date;
  • Maintain and update Talent Acquisition related forms (conflict of interest, offer letter, etc.);
  • Schedule and monitor assessments, results of new hire physicals, and drug screens;
  • Ensure that all new hire paperwork and checklist is completed and accurate prior to hire date;
  • Review and scan all selection process related paperwork;
  • Assign Employee ID and create onboarding request in the respective systems;
  • Enter new hires and create new hire documents for supervisors in the system;
  • Conduct day of hire orientation; welcome new hire, collect and process new hire paperwork;
  • Collect I-9 documents and perform E-Verify for new hires; follow-up as necessary;
  • Assist in the preparation of departmental reports and presentations;
  • Prepare documentation for approval of requisitions;
  • Provide assistance with creation and updating of job templates, job postings, job announcements;
  • Recommend changes in reports, programs, services, procedures, priorities, etc., to reduce redundancy and improve response time;
  • Process relocation reimbursement;
  • Participate in HR related committees and teams;
  • Monitor the Talent Acquisition Mailbox;
  • Take meeting notes and minutes;
  • Handle inquiries from internal and external applicants;
  • Perform other duties as assigned.
  • Working knowledge of all, but not limited to, the following:

o General office administration and management principles and practices;

o Human Resources related programs (i.e., Applicant Tracking Systems (ATS), Learning Management System (LMS), Performance Management);

o Human Resources related laws and regulations (i.e., Equal Employment Opportunity (EEO), Americans with Disabilities Act as Amended (ADAAA), Age Discrimination Employment Act (ADEA)) as related to application and hiring;

o Public Records requirements; o Related industry, organizational and departmental policies, practices and procedures; legal guideline, ordinances and laws;

  • Familiarity with all, but not limited to, the following:

o Office of Federal Contract Compliance Programs (OFCCP) requirements for tracking candidates, applicants, and prospects;

  • Ability to:

o Exercise independent judgment, prioritization and planning in daily activities;

o Gather information, reports and metrics from software systems

o Exhibit strong organizational skills;

o Strong computer skills

o Be flexible in a changing environment, adjust to multiple and changing priorities;

o Demonstrate strong communication skills, both verbal and written;

o Accurately take meeting notes and minutes;

o Make arithmetic computations using whole numbers, fractions and decimals, and compute rates, ratios, and percentages;

o Advanced knowledge of Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, etc.)

Experience Required:

  • Associate’s degree in Human Resources, Business, Marketing or related field of study from an accredited college or university and minimum of five (5) years of experience in an administrative role to include two (2) years of HR specific experience, OR
  • High School and minimum of seven (7) years of experience in an administrative role to include four (4) years of HR specific experience
  • Experience using HR related programs (i.e., Applicant Tracking Systems (ATS), Learning Management System (LMS), Performance Management) required
  • Experience in designated HR support area preferred
  • Utility experience a plus
  • Certifications and/or licenses to be completed: o SHRM or HRCI Certified Professional (SHRM-CP/SHRM-SCP or PHR/SPHR) preferred

Education Required:
