Job Summary:
The Student Support Assistant is responsible for providing support for all general administrative functions at the location. This includes greeting students and other visitors, helping with retention efforts, accepting, and assisting student with admissions, registration, financial aid, and other paperwork. The Student Support Assistant will assist the location team to ensure quality customer service to all constituents.
  • Serves as primary front desk receptionist; resolves customer service issues at his/her level or routes them to appropriate staff person, following up as needed.
  • Respond to phone, email, and walk-in requests from students, faculty, and visitors.
  • Process student applications, registrations, and payments.
  • Process employer, military and state tuition assistance forms, and financial aid and Veterans Administration transactions.
  • Maintain and update the location calendar.
  • Proctor exams (ADA, make ups, DE proctored exams, CLEP/DANTES, etc.) if they are approved to do so.
  • Reconcile bank deposits, petty cash, and credit card payments.
  • Orders office and other supplies for the location.
  • Works with Academic Advisor(s) to process activities related to student registration processes, including but not limited to assisted registration requests, financial aid applications, past due/collections list management, and address and location changes.
  • Provide prospective students with primary information about the location.
  • Assist with planning and execution of annual commencement as needed.
  • Assist with special projects and events including but not limited to new student orientation, faculty meetings, and commencement as needed.
  • Assist in the management of social media accounts.
  • Perform job duties in accordance with Columbia College’s vision, mission and values, and contributes to the development of the CCG Department.
  • Practice superior customer service.
  • Fulfill additional responsibilities as assigned.
  • Display respect and civility to all constituencies in all communications.
  • Ability to maintain student confidentiality.
  • Successfully complete all Human Resources, Technology Services, and other departmental annual training as needed including CCG Foundations training.
  • Attend work timely and on a regular basis during the established hours of operation; work additional hours as business necessitates.
Minimum Qualifications:
  • High School diploma or equivalent
  • Ability to fluently read, write, and understand the English language.
  • Proficiency with the following, but not limited to: active listening; speaking; writing; critical thinking; judgment and decision making; monitoring; reading comprehension; time management; coordination; and management of personnel resources.
  • Proficiency for using a variety of computer and technology-related software and equipment, including Microsoft Office products and database systems.
  • Proficiency in using web-based technologies, including database systems.
  • Ability to work independently and in a team environment, with or without direct supervision.
  • Excellent communication, interpersonal, customer service, and organizational skills.
  • Experience performing administrative tasks.
Preferred Qualifications:
  • Work experience in customer service.
  • One year of computer experience/coursework.
  • Experience with adult higher education students.
  • Specific knowledge of military education benefits, Veteran’s educational benefits, and financial aid processing.
