PRIMARY PURPOSE:

Organize and maintain a comprehensive system for storing records for students who have withdrawn or
graduated in accordance to local policy and the Local Government Records Act. The records shall
be stored in a safe and secure manner and shall be conveniently retrievable to fulfill requests for
transcripts and attendance records for former students.


QUALIFICATIONS:

TEA certification requirements High School Graduate or GED
Ability to type 45 words per minute (60 or more words per minute is preferred) Extensive experience
in spreadsheets, word processing and keyboarding
The ability to edit, manage, consolidate and convert digital data files in different formats such
as Excel, CSV, PDF and Word
The ability to manage electronic file storage in the cloud such as Google Drive and OneDrive Strong
knowledge of Adobe Professional and Excel
A thorough knowledge of modern business practices and procedures and of business English, Spelling
and Commercial terminology
The ability to handle delegated administrative details
The ability to write clear and concise memoranda, directives, or letters without close supervision
The ability to carry out instructions and develop comprehensive plans with a minimum of supervision
The ability to meet the public in a pleasant composed cordial manner, and to speak clearly and
effectively
The ability to establish and maintain effective working relations with all district employees as
well as the general public


MAJOR RESPONSIBILITIES AND DUTIES:

  • Receives visitors, ascertains the purpose of the visit, attends to visitors’
business or refers him/her to the proper person or office.
  • Maintains effective public relations with the general public.
  • Keeps informed on local and state laws, rules, and regulations, explains applicable
regulations and policies to appropriate persons.
  • Process student transcript and records requests from current and former students
  • Process student transcript and records requests from colleges/universities and other
agencies
  • Reviews incoming and outgoing correspondence, memoranda, reports, and similar
materials for the purpose of summarizing and/or referring to proper persons.
  • Prepares correspondence, memoranda, forms, requisitions, and other records.
  • Maintains records in an efficient manner.
  • Keeps student data current as directed.
  • Maintain of all office equipment to be maintained and or serviced.
  • Performs all duties in a safe manner to avoid injury to oneself and/or to others.
  • Ability to keep ethical work standards and handle confidential and security
sensitive information.
  • Performs other related duties as assigned.
