Position Summary:
A Nursing Staff Scheduler ensures staffing requirements for each work shift are met to comply with internal and external policies. The position of Nursing Staff Coordinator exists to provide staffing coordination to assure that the highest degree of quality resident care is maintained at all times.

Skills Required:
  • High school diploma required.
  • A minimum of one year experience required in a similar role.
  • An effective Staff Scheduler demonstrates proficiency with word processing, spreadsheet skills, and Microsoft Office applications.
  • Ability to secure and maintain private and confidential information.
  • Requires excellent ability to effectively communicate with nursing staff.
  • Working knowledge of accurate timekeeping and staffing requirements
  • Must have the ability to work independently with minimal direct supervision.
  • Must be detail oriented and organized.
  • Ability to analyze and problem solve.
Primary Responsibilities (include but not limited to):
  • Developing and maintaining staffing schedules for all Patient Care Units.
  • Managing daily, clinical staffing issues throughout the patient care units with continual revisions as necessary.
  • Solid documentation skills and aptitude required.
  • Timely posting of accurate staff schedules.
  • In collaboration with the Director of Nursing, the Scheduler is responsible for critical real-time decisions regarding increases and reductions and re-allocation of labor.
  • Communicates continuously with DON/ADON to ensure coordination of information and maintain accuracy of nursing schedule
  • Schedules staff vacations according to guidelines in the personnel policies and the DON’s direction
  • Tracks labor, including but not limited to: overtime and additional hours, time off requests and approvals, attendance tracking/reporting, schedule creation and schedule changes.
  • Forwards approved paid time off requests and trade requests to Payroll in a timely manner
  • Creates and maintains forms necessary for completion of scheduler’s task
  • Uses creative and flexible scheduling techniques to ensure that the schedule is current and up to date at all times.
  • Completes a listing of vacant nursing positions for DON weekly
  • Supports and participates in the hiring process of nursing personnel.
  • Collaborates with the Director of Nursing to coordinate the assignment of staff to perform nursing care of all types, while ensuring that the staff to resident ratio meets mandated staffing guidelines for nursing care facilities.
  • Perform various administrative duties as needed.
