Staff Accountant
JOB OBJECTIVE: The Staff Accountant will be responsible for maintaining internal controls and applying generally accepted accounting principles while processing accounts payable, cash receipts, and payroll in a grant accounting environment. This position will report directly to the Comptroller.
DUTIES AND RESPONSIBILITIES:
Review and process accounts payable invoicing ensuring proper accounting treatment
Maintain highly organized and detailed accounts payable files
Produce weekly accounts payable payments to vendors
Maintain 1099 records and generate and file annual Form 1099 with transmittal
Reconcile and file semi-annual Sales Tax Reimbursement
Management and reconciliation of agency petty cash
Generate, analyze and record monthly journal entries pertaining to postage and printing usage
Coordinate, review and process semi-monthly hourly and salary timesheets and other payroll related documents through payroll software
Analyze payroll results, prepare payroll journal entry and record in accounting system
Review and process employee payroll changes including wages, benefits, new hires and terminations.
Scheduling for new employee orientation and onboarding
Maintain vacation, sick and personal leave accrual/usage spreadsheets
Review checks/cash received, prepare deposit slip, take deposit to bank bi-weekly.
Determine appropriate revenue recognition and record cash receipts
Maintain and reconcile general ledger accounts specific to position on a monthly basis
Other account analysis and reconciliation as assigned by Comptroller
Assists with month end and year end closing procedures. Works with outside auditors, as needed
Responsible for retrieving and distributing mail from post office box and physical address.
Relieve front desk receptionist as needed
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of accounting principles and practices and the application of those principles
Attention to detail and highly organized
Strong written and verbal communication skills
Ability to prepare and submit reports in a timely manner
Knowledge and experience with Excel and Word
Knowledge and experience with accounting software
EXPERIENCE/EDUCATIONAL QUALIFICATIONS:
Bachelor’s degree or equivalent experience in accounting/finance
Working knowledge of Excel spreadsheets
Experience with payroll and human resources necessary
Experience with grant accounting preferred
