This position is responsible for the oversight of group billing for the hotel and reports directly to the hotel's Director of Finance.

Responsibilities include the following:

  • Prepare and audit Sales and Promo Checks for Distribution
  • Post Audio Visual Charges and attaching in Hyatt’s Billing Portal
  • Post Business Center Charges and attaching in Hyatt’s Billing Portal
  • Post Day Meeting Packages/IPO Rebates and attaching in Hyatt’s Billing Portal
  • Post Paid Outs or any other Miscellaneous Charges to the master account and attach backup in Hyatt’s Billing Portal
  • Monitor fax/Shared Accounting mailbox and respond to all Customer Service related inquiries
  • Review for accuracy and release group billing in Hyatt’s Billing Portal to Shared Services Center Event Billing Analyst
  • Open Folio/Deposit/Guest Ledger Review
  • Attend meetings as assigned (credit/collection meeting, pre-cons, sales pick up meetings)
  • Direct liaison with Shared Services Center Event Billing Analyst and Managers internally at the hotel level to communicate billing issues/corrections to ensure timely correction
  • Weekly Teams call with Event Billing and Sales/Events Team
  • P Card Receipt Collection
  • Ensure deposits received are properly applied to PM’s/PQ’s
  • Submit Sales Commission check requests for payment once bills are settled in full
  • Hyatt-to-Hyatt Billing
  • AR Filing/File Storage
  • Flexibility during month end close (if needed)
  • Assist with annual inventory count
  • Special projects as assigned by the DOF

Qualifications

  • Hospitality experience preferred
  • Opera (PMS) and Micros Simphony (POS) experience preferred
  • Ability to effectively communicate with departmental managers, colleagues, guest and the public.
  • Strong written and verbal communication skills
  • Must possess following strengths: high energy, motivated leader, effective communicator, excellent organizational skills, problem-solving skills
  • Extremely detailed and accurate
  • Willing to work on-site
