JOB DESCRIPTION

Job Summary:

The Staff Accountant will perform assigned duties within accounts payable and receivable, payroll, procurement, and other financial activities.

Accounting Duties/Responsibilities:

  • Reviews accounts payable invoices, obtains missing documents, before AP payments are made to make sure vendors are in compliance with their contract, assigns vendor numbers and similar identifying data, and confirms correct accounting codes were used.
  • Issues payments to vendors as approved.
  • Processes routine monthly payments as approved.
  • Answers vendor questions by researching accounts.
  • Processes payroll and performs all associated tasks.
  • Determines fixed costs such as salaries, rent, and insurance.
  • Predicts, plans, and records variable costs such as purchases of raw material, labor, and operation costs.
  • Reviews and analyzes actual costs to identify inaccuracies.
  • Prepares necessary departmental and company-wide budgeting reports.
  • Reviews, analyzes, and reports actual profit margins.
  • Performs month-end and year-end closings.
  • Determines and recommends cost-effective solutions.
  • Reconciles bank accounts at least monthly, verifies deposits, and maintains the general ledger.
  • Performs other duties as assigned.

Payroll Duties/Responsibilities:

  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Implements, maintains, and reviews payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Facilitates audits by providing records and documentation to auditors.
  • Coordinating payroll information with the CPA.

Supervisory Responsibility:

  • Assists in employee recruitment.
  • Conducts performance evaluations.
  • Coordinates training programs for new staff and identifies training needs for current staff.

Work Environment:

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands:

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary.

Position Type and Expected Hours of Work:

  • This is a full-time position, and typical work hours and days are Monday through Friday, 8:00 a.m. to 5 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 3:00 p.m. and must work 40 hours each week to maintain full-time status.

Travel:

  • No travel is expected for this position.

Required Education and Experience:

  • Bachelor’s degree in Accounting, Finance, Business Administration or related discipline required.
  • Two years of related experience in Accounting required.
  • Additional year of related experience in Payroll duties.

Required Skills/Abilities:

  • Extensive knowledge of generally accepted accounting principles (GAAP) and cost accounting.
  • Ability to use accounting software to record, store, and analyze financial data.
  • Extensive knowledge of payroll functions including preparation, balancing, internal control, and payroll taxes.
  • Excellent organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to follow verbal and written instructions.
  • Ability to type 30 words per minute.
  • Proficient in Microsoft Office Suite.
  • Extensive experience with an ERP accounting software.

Preferred Abilities and Experience:

  • Certified Payroll Professional, optional.
  • Certified Public Accountant, optional.
  • Experience with Prevailing Wage Certified Payroll reports.
  • Experience with Worker’s Compensation insurance agencies.
  • Knowledge of California Labor laws and requirements.
  • Experience with labor unions.
  • Experience with California State Apprenticeship programs.
