This position provides full spectrum administrative support to the federal and state grants programs
including significant tracking and maintenance of program budgets and matters of a confidential nature.
Handles daily work pressures, requiring a volume of work which must be completed within a specified
period of time.


ESSENTIAL DUTIES AND RESPONSIBILITIES Essential duties of this position include the following. Employees in this position perform some or all of the following tasks. Other related duties may be assigned.

1. Follows and maintains knowledge of all applicable District policy(ies) and procedures.

2. Provides administrative support to curriculum department staff including, but not limited to preparation of presentations, tracking, calendar management, correspondence to staff, parents, students and community members.

3. Performs general office duties including answering multi-line phones, greeting the public, typing, filing, sorting and handling incoming and outgoing mail, responding to emails.

4. Completes a high volume of computer data entry work, using District computer programs, to input a high volume of data with speed and accuracy, including confidential data, in an environment with constant interruptions.

5. Compiles and prepares reports for administration or outside agencies as required.

6. Reads and interprets legal guidelines in regards to administration of federal and state programs.

7. Responds to requests from district leadership, principals, and staff regarding grant budgets and expenditures.

8. Schedules conferences and programs as required including creating schedules, contacting all invited parties, preparing confirmation and distributing materials to all parties (district leadership, school staff, etc.).

9. Manages special projects as assigned.

10. Processes district purchase orders and organizes purchases.

11. Provides accurate and timely information and reports.

12. Assists in development, track, maintain, and report on program budgets including Title I, Title IIA, Title IV, 21st Century, Student Investment Account, High School Success, and other development grants. Assists schools in allocating the Title I budgets.

13. Coordinates data and documentation required for monitoring of grants.

14. Appropriately maintains and secures confidential records and inquiries.

15. Interacts thoughtfully and courteously with students, staff, administrators, and parents and resolves conflict in a professional manner.

16. Communicates clearly with coworkers and other staff.

17. Dress professionally for the position.

18. Provide impeccable customer service.

19. Attends work daily as assigned and is punctual.

20. Adheres to daily schedule.


Requirements:

High school diploma or General Education Diploma (GED) and at least two years' related experience in typing, general clerical and/or training or equivalent combination of education and experience. Ability to accurately enter and retrieve computerized data. Prior successful experience working in a school setting strongly preferred. ? Works well with others from diverse backgrounds. Focuses on solving conflict; maintaining confidentiality; listening to others without interrupting; keeping emotions under control; remaining open to others’ ideas and contributing to building a positive team spirit. ? Ability to communicate fluently verbally and in writing in English. Ability to respond to common inquiries or complaints from students, parents, staff, administrators, directors, auditors, regulatory agencies or members of the community. Ability to effectively present information to principals and the Superintendent. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write reports and business correspondence. ? Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs. Ability to handle large amounts of money and account for monies received. Ability to perform complex accounting functions. ? Ability to solve practical problems involving several variables in a variety of situations. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. ? General knowledge of computer usage and ability to use accounting software, database software, internet software, e-mail, spreadsheets and word processing software. Ability to Special Programs Compliance Coordinator Page 2 proficiently use the following programs strongly preferred: Synergy, Google, Pentamation, Microsoft Office. Advanced spreadsheet abilities strongly preferred. Ability to type accurately and proficiently. ? Ability to appropriately communicate with students, teachers, administrators, parents and members of the community and others including vendors, law enforcement and other agencies. Ability to exercise good judgment and work in an environment with constant interruptions. Ability to pass background check and drug screening. ? Certificates as determined by the District including a valid Oregon Drivers License. Ability to obtain a valid First Aid/CPR card.
