The Senior Operational Specialist works alongside and supports senior executives to establish and execute company-wide initiatives and projects. The SOS will have an immediate impact on productivity, streamlining strategic initiatives, overseeing program management, and communicating objectives across various levels of leadership and between departments.

As a key leader, the SOS role is responsible for developing and maintaining productive relationships amongst stakeholders, leaders, and staff. They will work closely with the executive team to support day-to-day operations by providing excellent leadership and problem-solving skills to drive the managing and reporting on critical projects, lead and implement process improvement, engage with employees to discover difficulties and deliver beneficial solutions.

The Senior Operational Specialist is an administrative role and a full-time position. The role will typically operate in a standard business week (Monday through Friday between 8 AM and 6 PM), although occasional schedule variations might be necessary to include nights and weekends. This role reports to the Chief Operating Officer (COO).

Responsibilities

  • Manage the COO’s schedule and reallocate time through doing, delegating and deferring non-urgent tasks and cut unproductive demands on time
  • Handle inquiries and develop action plans to address them and assist with the preparation and dissemination of communications
  • Determine and prioritize business strategies in collaboration with the executive team members
  • Build and develop relationships with all employees for increased efficiency and effective responsiveness into existing operations
  • Provide support and oversight for special projects and initiatives
  • Serve as liaison between staff, leaders, executives and owners regarding company climate, employee well-being, project updates, proposals, and planning
  • Offer recommendations and consultation to department leaders to improve work processes and teamwork
  • Work with leadership to deliver, monitor and communicate progress towards goals
  • Identify and provide recommendations to resolve problems or opportunities for improvement across the organization
  • Provide tactical support to implement ideas and insight and analysis on the company’s operations

Essential Functions

  • Work with the COO and senior team to develop yearly, quarterly, and monthly strategic priorities and to facilitate workflows to move them forward
  • Prioritize and oversee strategic business initiatives from development through successful execution under the guidance of senior leadership and departmental heads
  • Assist the executive team members to determine and prioritize business strategies based on their schedules
  • Assist and communicate with executives in decision-making, management, and initiative implementation
  • Review, design, and execute improvements to org structure, finding and resolving knowledge and skills gaps
  • Improve current processes and coordinate organizational procedures for optimized efficiency and productivity
  • Build strong relationships with leadership and departments to allow for cross-functional partnership
  • Act as an extension of the COO in appropriate settings to oversee meetings or entire projects
  • Act as an advisor to the COO on both strategic and tactical matters
  • Define and drive the operations and administration of support operations ensuring initiatives are well tracked, data collected and analyzed, resources are allocated properly, projects are combined and reported on effectively, staff is appropriately managed and supported
  • Foster success-oriented environment of positivity and collaboration, team effort, and accountability within the leadership team
  • Manage COO’s preparation for major internal and external meetings and events
  • Helps drive goal setting, employee evaluation and feedback.
  • Other duties or responsibilities as needed

Required Qualifications/Skills

  • Degree in Business Administration or similar field
  • 5+ years experience in a business or management role
  • Excellent computer skills; experience in Microsoft Office Suite
  • Excellent written and verbal communication skills with a strong focus on interdepartmental communication
  • Excellent interpersonal skills and the ability to interact with staff at all levels are required.
  • Extremely organized and detail-oriented while working in a fast-paced, often stressful setting
  • Capable of handling confidential material with professionalism and caution
  • Demonstrable experience managing high-profile projects
  • Strong Excel and PowerPoint skills are a must
  • Experience planning and leading strategic initiatives


  • Preferred Qualifications

  • Master’s degree from an accredited institution in a business-related field
  • Bilingual English/Spanish or English/French
  • Five years’ experience in the roadside assistance industry
  • Data analysis experience
  • Consulting experience with a focus on operations management
  • Strong project reporting skills, with a focus on interdepartmental communication
