Senior Administrative Assistant, IT

Opportunity

Under the direct
supervision of the VP – IT Digital Capabilities & EAO and the VP – IT, Data
& Analytics, the Sr Administrative Assistant performs administrative
functions to ensure operations flow smoothly in a fast-paced, technologically
oriented office environment.

Responsibilities include:

  • Manages VP’s calendar
    and schedules/organizes/plans meetings with proper attendees and resources.
    Oversees tasks and action items to ensure commitments are met for both the VP
    and immediate staff to support expected deliverables. Monitor changing
    dynamics of a work environment to set and adjust priorities accordingly.
  • Monitors,
    transmits, and distributes communications for VP as required. This will include
    composing, editing and tracking correspondence, creating presentations,
    analyses and spreadsheets, creating, maintaining and organizing a filing system
    and assisting IT associates, as required, in organizing and prioritizing large
    volumes of information including telephone calls.
  • Attends key
    meetings to take notes as necessary especially to track action items and due
    dates. Assist in proactively monitoring approaching deadlines. Type
    meeting minutes for VP and staff when requested.
  • Schedules and
    organizes activities and details related to travel, training, conferences and
    departmental activities for the IT team. Will also provide support
    to other IT teams as needed.
  • Assists with the
    maintenance of the department financials. Includes printing monthly
    budget reports from SAP, and creating a method of recording and tracking
    departmental charges/reports that include travel, training, and communications
    expenses.
  • Creates and submits
    expense reports to Corporate Accounting on behalf of the VP for any business
    expenses.
  • Craft and design
    correspondence, memoranda, charts, tables, graphs, business plans, etc. Proofreads for spelling, grammar and layout changes as necessary.
    Responsible for accuracy and clarity of final copy. Performs desktop
    publishing, spreadsheet set-up/analysis, and creating/developing visual
    presentations (Excel and PowerPoint).
  • Assists CIT
    associates, as required, in organizing and prioritizing large volumes of
    information and telephone calls. Either transfer the call to a qualified
    person for handling or record phone messages in a written response or e-mail
    documentation.
  • Prints, scans, or
    makes copies of emails, documents, etc. when requested. Also sends or
    distributes faxes as needed. Sorts and distributes mail daily, as necessary, to
    CIT associates.
  • Updates daily “out of office” personnel list for associates reporting to both
    VP and maintains vacation balances.
  • Works closely with
    the CIT Confidential Secretary and other floor administrative staff to ensure
    adequate phone coverage, order office supplies, and provide a high level of
    administrative support to the CIT staff.
  • Compiles monthly operational metrics.
  • Coordinates
    internal and external interviews as required.

Skills/Requirements

  • High
    school diploma and at least 2-3 years of secretarial/administrative experience or
    Associate Degree and secretarial/administrative experience.
    Must have good working knowledge of Windows, Word, Excel and PowerPoint.
    Knowledge of Access software would be a plus.
  • Ability to prepare charts and graphs in appropriate software to track/analyze
    department metrics.
  • Ability and desire to work in a team environment.
  • Exceptional and proven customer service, along with a high degree of
    professionalism/confidentiality required.
  • Must possess excellent business writing, editing and proofreading skills in
    addition to the ability to communicate both orally and in writing.
    Demonstrated ability to set priorities, meet deadlines, multi-task, and
    organize efficiently.
