The Township of West Windsor is seeking a candidate for the Secretary-II Land Use position. The successful candidate will greet visitors and handle in-coming calls for the Land Use Division; assist the public with Land Use Code requirements; collect division fees; provide secretarial support for the division; perform Zoning Board of Adjustment secretarial duties.

  • Demonstrate competence in all skills of Secretary I.
  • Set priorities for work flow and complete in a timely manner.
  • Assist customers with applications and answer questions regarding the Municipal Land Use Law and the West Windsor Township Land Use Ordinance.
  • Collect and process Land Use Board applications, Zoning Permits and violations, including fees and fines.
  • Prepare and maintain purchase requisitions
  • Identify the need for changes to Division forms and procedures and make recommendations to management.
  • Update the Division database with information on applications, inspections, scan files and reports on LaserFiche.
  • Independently prepare Division communications (including letters, memos, etc.).
  • Proofread own materials and that of coworkers with very high degree of accuracy.
  • Prepare reports, schedule Zoning Board and TRC (Technical Review Committee) meetings, and make reasonable decisions.
  • Demonstrate competence in all aspects of the word processing software used by the Division of Land Use.
  • Coordinate with other Land Use support staff and officials on a daily basis.
  • Attend meetings and take notes for distribution to Division management and officials
  • Gather source material for meetings and reports, send notices of meetings to authorized personnel, and arrange schedules so that all interested people are present. Attend night meetings on an as need basis as Administrative Secretary; prepare minutes on an as needed basis.
  • Perform additional office tasks as requested and required.
  • Maintain all Zoning Board files.
  • Assists with question via in-coming phone calls and/or in person at the counter
  • Prepare monthly reports for Finance for Escrow & Current Fund
  • Make monetary deposits daily to Finance Department
  • Prepare Zoning Certifications.
  • Prepare and certify Property Owner lists.
  • Prepare Division of Motor Vehicle letters for taxi owners.
  • Provide assistance at counter relating to Land Use questions.
  • Explain Planning Board/Zoning Board/TRC procedures to the public and outline the nature of and the procedures to be followed in presenting a case before the Boards.
  • Utilize various types of electronic recording and information systems.
  • Research information pertaining to OPRA (Open Public Records Act) requests.
  • Arrange for the preparation of Zoning Board minutes and transcripts of minutes as requested and maintain public copies.
  • Prepare and advertise Zoning Board meeting notices.
  • Prepare and advertise the decisions of the Zoning Board with regard to Land Use applications submitted.
  • Coordinate with Assistant Zoning Officer court hearing dates and maintain file of zoning complaints received by Division.
  • Work with Division Manager in preparing yearly Division Operating Budget.

Job Type: Full-time

Pay: $41,739.00 - $60,454.00 per year

Experience:
