Position Description

The Scheduler is responsible for scheduling appointments via phone or from faxes sent from referring physicians as well as patients calling and requesting appointments. Interacts with referral sources and exercises independent judgment in determining appropriate sub-specialty required based on diagnoses, symptoms, and other information provided by referring providers. Must possess thorough understanding of physician scheduling protocols to ensure efficient use of physician times without negative affecting patient access. Requires experience and knowledge of Managed Care, Indemnity, Medicare, Medicaid, and other payment systems to include insurance requirements for prior authorizations for visits and/or procedures and rules for determining primary and secondary payment sources. Duties may also include greeting patients, registration, visit confirmation and notification, obtaining current insurance information, collection of payments or other services and assistance required to assure that patients? needs and expectations are fully met. The Scheduler must provide service to all patients, visitors, and colleagues with professionalism, respect, friendliness, and confidentiality. The Scheduler is responsible for assuring that all administrative policies and procedures are implemented and followed within the Practice under the direction of the Practice Administrator. They may also be cross-trained to provide assistance with other duties as needed.

Position Requirements

High School Diploma, GED or equivalent from a recognized State or Federal accrediting organization. Minimum of two years experience in a related setting including a working knowledge of information systems, insurance processes, medical terminology and experience managing high volume of callers through a multi-line phone system. Calculator, Windows Office experience required. Keypunch speed of at least 35 wpm.

Preferred Requirements

Associate Degree in Medical Office/Business Management or 2 years post high school course work preferred. CPT and ICD-9 coding experience preferred. Experience in an outpatient practice preferred.
